Job Overview
The Registrar provides direct support to new families at the school and ensures that students are registered following state and local regulations. Administratively, the Registrar maintains student records—attendance, immunization, grades, and transfer information—while handling reporting, transcript requests, schedule maintenance, document preparation, and communication of potential issues to higher‑level administrators.
Roles and Responsibilities
Responds to requests for information from the public, parents, staff, and other interested parties.
Answers questions within authority and directs callers/visitors to appropriate staff.
Collects required information to register new or transferring students; ensures all documentation is provided; submits registrations and maintains waitlists.
Manages school entry, verifying and documenting personnel entering and leaving the premises.
Verifies student attendance and contacts parents/guardians for follow‑up on absences, tardiness, and early pickups; works with attendance officers on truancy concerns.
Enrolls students into information systems manually or processes online pre‑registrations.
Directs students requiring evaluation of English language skills or additional services to the appropriate offices.
Assembles, prepares, and maintains student scholarly records per LCPS guidelines; prepares files for summer transfer and reviews incoming records.
Prepares, provides, and maintains logs, spreadsheets, paperwork, forms, and correspondence to ensure accuracy and completeness.
Files documents and maintains a confidential, organized, secure area for student records.
Copies and sends documents electronically, by fax, or by mail.
Collects legal documentation and works with the Senior Registrar to maintain accurate data affecting ParentVUE and StudentVUE systems.
Works closely with the Senior Registrar, special permission office, transportation, and McKinney‑Vento liaison on unique registration scenarios.
Assists families with activation of the ParentVUE system.
Stays current on pupil accounting changes/requirements at the state and local level.
Coordinates resources to provide translation services/interpreters where needed.
Qualifications
High School Diploma or GED.
General office or secretarial experience.
Knowledge, Skills and Abilities
Effective oral and written communication skills.
Strong organization, interpersonal, and decision‑making skills.
Knowledge of Microsoft Word, Excel, and Outlook.
Ability to make all families feel welcome in the school and community.
Ability to work efficiently and ensure accurate data entry.
Exceptional customer support skills.
Demonstrated ability to maintain confidentiality and sensitivity to diverse family situations.
Ability to work at a fast pace and multitask.
Physical Requirements
Regular talking, speaking, and communicating. Frequently sitting or remaining stationary for long periods. Occasionally lifting, carrying, pushing, pulling or moving objects up to 25 pounds.
