NCHS Main Office Reception Secretary
Location: New Castle High School (NCHS) Reports To: Principal
Schedule: 10 Month Position (working 205 days)
Position Summary
The Main Office Secretary serves as the first point of contact for students, families, staff, and visitors at New Castle High School. This position supports the daily operations of the main office by providing efficient clerical support, maintaining accurate records, assisting with attendance processes, and ensuring a welcoming and organized front office environment.
Essential Duties and Responsibilities
Answer incoming phone calls and listen to voicemail messages, responding appropriately or directing inquiries to the appropriate personnel.
Receive and process attendance call-ins and update student attendance records in a timely and accurate manner.
Write and distribute student passes when students are requested to be released from class.
Sign students in and out at the front desk following established procedures.
Monitor the front door camera system to ensure building security and appropriate visitor access.
Assist the Treasurer and Principal’s Secretary with office-related responsibilities as needed.
Maintain organization of front office materials, records, and daily operations.
Provide courteous and professional customer service to students, staff, parents, and visitors.
Support the overall efficiency of the school office by completing clerical tasks and maintaining confidentiality of student and staff information.
Perform all other duties as assigned by the Principal.
Required Skills and Qualifications
High school diploma or equivalent required.
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Ability to multitask and prioritize responsibilities in a fast-paced environment.
Proficiency in basic office technology, including phones, computers, and common office software.
Ability to maintain confidentiality and demonstrate professionalism at all times.
Preferred Qualifications
Previous experience working in a school office or administrative setting is preferred.
Familiarity with student information systems and attendance procedures preferred.
Experience providing customer service in a professional environment preferred.
Work Environment
This position requires frequent interaction with students, staff, parents, and visitors and the ability to manage multiple tasks simultaneously in a busy school office setting.
