Job Summary
The Quality Support Assistant supports the quality team by providing dedicated administrative oversight of our documentation and records. This role is focused on the systematic review and organization of pharmacy logs, compounding records, and compliance files. By ensuring every document is complete, accurate, and properly filed, the Quality Support Assistant plays a vital role in maintaining the high standards of our 503A facility. This is a focused, detail-oriented position perfect for someone who enjoys structured work and maintaining impeccable digital and physical records.
Key Responsibilities
Documentation Review & Verification
Systematically read and review pharmacy records to ensure all required fields are completed accurately
Verify that signatures, dates, and technical data points are present and legible on all compounding logs
Identify any missing information or clerical errors and flag them for correction
Act as a "second set of eyes" to ensure all documentation meets our standard operating procedures
Records Organization & Management
Maintain a highly organized digital filing system for all pharmacy documentation
Scan, upload, and categorize documents to ensure they are easily searchable and retrievable
Ensure all files follow the company’s naming conventions and archival schedules
Audit existing folders to ensure documents are stored in the correct locations and are up to date
Quality & Compliance Support
Assist in preparing documentation batches for internal reviews or regulatory audits
Support the maintenance of logs related to equipment calibration, cleaning, and temperature monitoring
Help update document templates and forms to ensure they remain user-friendly for the pharmacy staff
Contribute to a culture of "ready-at-all-times" compliance through consistent, daily record maintenance
Administrative Integrity
Handle all sensitive pharmacy records with the highest level of confidentiality
Ensure the physical workspace for records is kept orderly and secure
Qualifications
Required:
High school diploma
1 year of experience in an administrative, data entry, or record-keeping role
Exceptional attention to detail; you are the type of person who catches the smallest mistakes
Strong organizational skills with a love for creating order and maintaining clean filing systems
Ability to work independently and stay focused during repetitive review tasks
Proficient with Google Workspace (Docs, Sheets) or similar office software
Familiarity with document control or basic compliance standards, preferred.
Physical Requirements
Ability to sit for extended periods of time at a computer
Ability to lift and carry up to 20 pounds as needed for filing boxes or supplies
Ability to use a computer and scanner for extended periods of time
