Description
Position Overview
The Production Management Coordinator is responsible for supporting operations of the Production Management department. The Production Management department is responsible for the estimating, budget management, and successful production of all custom scenic and décor elements for all divisions (exhibits, special events, experiential marketing, permanent installs, and tradeshows.) This position reports to the Director of Production Management & CAD Engineering.
Key Job Responsibilities
Provide administrative and production support to the Production Management department.
Support departmental staff with material and vendor sourcing, research, procurement, and workflow assistance.
Update project folders with quotes, photos, and associated project files.
Organize & maintain the departmental folders, including vendor contact lists and asset information.
Maintain & update the database of venues in which Hargrove frequently works, including verifying information accuracy via site surveys.
Maintain the production management sample library and files.
Perform other duties as assigned and deemed necessary under the direction of the department supervisor.
Job Qualifications
1-2 years of experience in special events, theatre, exhibit, or entertainment related production management.
General experience in technical theatre, stage management or similar positions a plus.
Excellent customer service, problem solving skills and the ability to work with cross-functional teams across many levels of management including the executive team.
Must be very detail-oriented, possessing exceptional organizational skills.
Excellent professional written and verbal communication skills to effectively communicate with Hargrove personnel, venue staff and vendors when needed.
Ability and initiative to work independently and as part of a team.
Must have ability to multi-task in fast-paced environment, competently handling demanding deadlines.

Work is performed in both an office and manufacturing environment. Working times may include irregular hours and on-call status including days, evenings, weekends, and holidays. Team members must adhere to appearance guidelines as defined by Hargrove based in an office/manufacturing environment and when traveling, on an individual venue or a representation of venues in that city or area. Most work will take place in a climate-controlled environment. Surroundings at times can be chaotic, high energy, and noisy, with high traffic volumes, dusty, and exposure to manufacturing and weather conditions.
