RESPONSIBILITIES
Ensures a high functioning central administration and supports the work of the various YWCA Hamilton departments by providing administrative and logistical support. Demonstrates a high level of professionalism, confidentiality, composure and flexibility when faced with managing multiple conflicting priorities.
Tracks walker registrations and keeps Manager updated on progress
Supports engaging volunteers in YWCA Hamilton's mission and activities
Supports community outreach by identifying and engaging new potential walkers and reengaging past event participants
Engages team captains and registered walkers by answering questions, encouraging fundraising, and celebrating milestones
Supports day‑of event execution with assigned responsibilities and works collaboratively with members of the Philanthropy department
Supports roll‑out of new personal fundraising pages campaign and document key processes for implementation
Ensures compliance with policies and procedures
Maintain accurate files electronically and in hardcopy to ensure responsible administrative records and corporate memory
Maintains high level of confidentiality/privacy when working with client information
Works safely and reports all workplace hazards and follows all YWCA Hamilton Health and Safety policies and procedures
Supports YWCA Hamilton’s mission, vision and values
Perform other duties as required
QUALIFICATIONS
Be between 15 and 30 years of age at the start of the employment
Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment
Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
Previous experience working in an Administrative Assistant role an asset
Demonstrated understanding of administrative processes and procedures
Exceptional organizational skills with ability to prioritize tasks, work under pressure, meet deadlines, and quickly adapt to change
Provide a current Judicial Matters police check or willingness to obtain at own cost
Ability to maintain composure when faced with managing multiple conflicting priorities for multiple stakeholders
Excellent problem solving and analytical abilities; proactive in anticipating needs and potential problems
Ability to travel as required, valid Ontario Driver’s license and access to a vehicle is an asset
Ability to work various shifts days, afternoons and some evening (Monday to Friday) as required
Excellent verbal and written communication skills
Proficiency with MS Office Applications including but not limited to Word, Excel and Outlook
Ability to bring a feminist, anti‑racist/anti‑oppressive perspective to daily work
Bilingual English/French or other languages an asset
