Job Description - Administrative Coordinator, Hospital Medicine (938495)
Works under minimal direction to provide coordination and supervision of major and very complex activities, programs, functions, or projects for large office, department, or division. Provides leadership and supervision of administrative operations for a division with >90 FTE/ 80 cFTE. Directs an administrative team in the coordination of complex program operations, initiatives, and special projects. Ensures operational efficiency, timely execution, and alignment with divisional and institutional strategic goals. Manages the day‑to‑day operations of the division by collaborating with the Division Operations Administrator, Parkland Section Division Chief, Parkland Medical Director, and Parkland Assistant Directors. Assists with the preparation/oversight of the $30M± Parkland Hospital Medicine budget. Oversight of the division’s accounting activities; preparation of the bi‑annual incentive. Assists the Director of Scheduling with the preparation/execution of a complex scheduling system for Parkland HM faculty as well as Med/Peds-Hospital Medicine faculty, in addition to medical student and resident rotations. Assists with overseeing the division’s CME budget $400K±; budget for division’s official events; and division’s reconciliation and general budget.
JOB DUTIES
Coordinates and supervises major or very complex programs, activities and special functions, including establishing, reviewing, and revising policies and procedures; supervises clerical and administrative employees working on program, activity, or special function; interprets policies and procedures; ensures timely and efficient operations to accomplish objectives.
Provides professional support on special projects, which may include tasks such as collection, organization, and analysis of relevant data, preparation of timelines, and writing reports.
Develops and delivers special presentations.
Coordinates budget for activity, program, or project following appropriate accounting practices and procedures to ensure all work is within budget; prepares and submits reports using spreadsheet and word processing software as required.
Performs other duties as assigned.
EXPERIENCE
10 years of progressively responsible administrative experience in business, medical, scientific, or health care environment. May consider higher education completed in lieu of minimum requirements.
