Position Summary
Ella SA Contracting is seeking a Project Coordinator to support the planning and execution of underground utility construction projects, including water, sewer, storm drainage, and related infrastructure. This role works closely with the Project Manager, Superintendent, and Foreman to coordinate field operations, maintain project documentation, and ensure projects are completed safely, on schedule, within budget, and in compliance with quality and regulatory standards.
Key Responsibilities
Project Coordination & Scheduling
Assist in developing and maintaining project schedules, tracking tasks, milestones, and dependencies
Support overall schedule updates and progress reporting to the Project Manager
Assist Superintendents and Foremen with three‑week look‑ahead planning
Help coordinate daily construction activities to align with project timelines
Documentation & Reporting
Maintain accurate and up‑to‑date project documentation, including daily reports, meeting minutes, and progress updates
Manage and update project submittals and as‑built drawings specific to underground utility installations
Track and document field changes, RFIs, and work completed
Permitting & Compliance
Create, submit, and maintain 811 dig tickets to ensure compliance with utility locate requirements
Assist in ensuring adherence to local, state, and safety regulations related to excavation and underground work
Support inspection coordination and documentation for regulatory compliance
Budget & Cost Tracking
Assist with tracking project costs, updating budgets, and monitoring expenses
Manage and update purchase order (PO) reconciliation and track outstanding orders
Creating purchase orders and purchase change orders from vendor quotes
Coordinate field purchases with cost tracking software
Support material cost tracking and vendor coordination
Risk & Issue Management
Identify potential risks related to underground conditions (existing utilities, soil conditions, etc.)
Maintain risk and issue logs, documenting mitigation strategies and resolutions
Assist in resolving field issues in coordination with project leadership
Field & Operations Coordination
Coordinate closely with Foremen and Superintendents for daily operational needs
Promote a safety‑first culture, ensuring excavation safety, trench protection, and compliance with OSHA standards
Assist with material ordering, delivery coordination, and occasional material runs to job sites
Coordinate subcontractors and utility crews to maintain workflow efficiency
Project Execution & Monitoring
Support execution of underground utility installation activities including trenching, pipe laying, backfilling, and restoration
Monitor field progress and report status updates to the Project Manager
Assist in tracking production quantities and installed footage
Quality Assurance
Assist in implementing quality control procedures for pipe installation, compaction, and testing
Help ensure all work meets project specifications, drawings, and industry standards
Support documentation of inspections, testing results, and punch list items
Qualifications
Bachelor’s degree in Construction Management, Civil Engineering, or related field (or equivalent experience)
Strong organizational and multitasking abilities
Effective communication skills for both office and field coordination
Proficiency in Microsoft Office (Excel, Word, Outlook)
Willingness to work in both office and outdoor job site environments
Preferred Skills
Basic knowledge of underground utility construction (water, sewer, storm, telecom)
Familiarity with excavation safety practices and trenching standards
Experience with project management or scheduling software (e.g., MS Project, Primavera)
Understanding of blueprints, utility plans, and as‑built drawings
