We are a family here at PCC, each member ofthe team cares deeply, often for a very personal reason, and that means a lot to our patients**Job Description:**A Pacific Cancer Care (PCC) Office Manager is a frontline administrative leader & working supervisor who is responsible for overseeing the day-to-day operations of a medical or administrative office, ensuring compliance, efficiency, and alignment with the organization’s mission and regulatory standards.**Key Responsibilities*** Operational Leadership: Oversee the daily operations of the office, manage a team of administrative staff, and coordinate workflow to ensure smooth functioning.* Liaison Role: Serve as a key communication link between medical staff and the PCC Practice Administrator/CEO, addressing concerns and facilitating collaboration.* Compliance & Records: Maintain accurate, up-to-date records and documentation, ensuring adherence to medical staff bylaws, accreditation, and regulatory requirements.* Policy & Process Development: In collaboration with PCC Leadership, develop and implement policies, procedures, and processes to streamline operations and improve efficiency.* Medical Staff Support: Provide day-to-day guidance and support to medical staff.* Budget & Resource Management: Manage office budgets and resources, ensuring responsible and efficient use of funds.* Staff Development: Lead recruitment, training, performance evaluations, and mentoring of administrative and support staff.* Conflict Resolution: Handle escalated issues or conflicts within the administrative shared services staff, working to resolve them and maintain positive relationships. Effectively escalate clinically related issues/conflicts to the Practice Administrator/CEO.* Quality & Continuous Improvement: Promote a culture of quality assurance and continuous improvement, identifying and implementing operational enhancements.* Representation: Present updates and reports at organizational meetings, representing Los Gatos- Medical Oncology’s interests and achievements.* Registration & Scheduling: Supports day-to-day operations by registering and scheduling patients/patient appointments in a timely manner. Provides cross-coverage at Reception. Serves as a subject matter expert and effectively onboards/trains new allied health staff members.**Skills & Competencies*** Administrative & project management experience, including coordinating staff, managing budgets, and overseeing operations.* Microsoft Office proficiency (Word, Excel, PowerPoint) for documentation, reporting, and presentations.* Communication skills — written, verbal, and interpersonal — to liaise with clinical, administrative, and patient-facing teams.* Conflict management and time management to handle multiple priorities in a fast-paced environment.* Computer skills for EMR/Onco-EMR systems, vendor coordination, and data entry.* Confidentiality and compliance with HIPAA, OSHA, and other healthcare regulations.* Qualifications & Requirements* Experience in front office operations, staff supervision, and patient service coordination is valuable.* Familiarity with oncology-specific workflows (e.g., scheduling, billing, compliance with cancer center policies) is an asset.* Strong organizational, leadership, and communication skills; ability to manage budgets, resolve conflicts, and lead teams.* Familiarity with Pacific Cancer Care, oncology, and leadership concepts is valuable.**Education & Certifications*** High school diploma with a minimum of 3 years in medical staff office management, preferably in a healthcare organization. Associate’s degree in business administration, medical office administration, or a related field is preferred.* Certifications such as Project Management Professional (PMP) or Certified Administrative Professional (CAP) can strengthen qualifications.**Work Environment**The role is typically based at a PCC location (e.g., Los Gatos, Gilroy) and requires a collaborative, detail-oriented approach.
