Responsibilities
The desk operations specialist (DOS) facilitates patient visits and supports the health care provider by anticipating and responding to patient needs and requests of the health care team. The DOS allows care providers to focus on patient care by coordinating details of patient visits, including coordinating complex appointment schedules and daily activities in a multispecialty medical practice, preparing patients, completing pre‑examination record information, managing the flow of patient materials, obtaining or verifying patient demographics and medical insurance information, advising patients of scheduling delays or changes, and serving as a direct contact and resource to patients. The role also includes preparing orders and scheduling screening tests following practice guidelines, measuring and documenting patient vitals, scheduling and rescheduling tests or consult requests, processing ABN forms and insurance verifications, and handling patient appointment communications. The DOS may assist in facilitation of patient visits such as restroom or clothing change assistance, placement of apparatus on patient prior to examination, IV removal, and may assist the proceduralist during procedures. The position requires navigation through multiple electronic applications and devices, including iPads or tablets, and assisting patients with kiosks and text reminder notifications. The role may support access and navigation activities including greeting patients and visitors, verifying appointments, following screening scripts, enforcing entrance policies, and engaging security or nursing staff as needed. Effective communication, excellent customer service, conflict de‑escalation skills, and the ability to push or pull up to 75 pounds on occasion are required. The position requires flexibility, including cross‑coverage, traveling if needed, and willingness to adjust work schedules to meet departmental or clinical needs.

Qualifications
High school diploma or GED and a minimum of two years of customer service experience in an environment requiring multitasking (e.g., call center, administrative physician office, appointment scheduler, or retail/service industry) or an associate’s degree. Individuals without medical education or experience must successfully complete a medical terminology course within six months of employment. An associate’s degree and coursework in a healthcare-related field is preferred. Exposure to electronic health records is a plus. Required skills include strong organizational skills, the ability to multitask without compromising quality, excellent verbal and written communication, ability to handle difficult situations, maintain empathy, and remain composed under stress. Candidates must be flexible and willing to adjust work schedules as needed, manage and prioritize tasks while working directly with patients, and may need to complete additional coursework. Basic Life Support (BLS) may be required in some areas, and additional education may be required on hire.

Schedule
Full Time.

Hours / Pay Period
80 hours per week.

Schedule Details
Monday – Friday 8‑hour shift – rotating – 6 am – 5 pm. Evening – 2:30 pm – 10:00 pm. Saturday – 8 am – 12 pm. Sunday – 7 am – 4:30 pm.

$21.55 – $30.22 per hour.
