
Executive Assistant I

Job Summary
This is a stand‑alone position that reports to the VP of Enterprise Sourcing and Procurement in Supply Chain. The role works closely with Supply Chain executives and their organizations to coordinate and plan meetings or events with internal business units and external stakeholders, including consultants, company executives, industry leaders and vendors. The position exercises confidentiality, tact and diplomacy, uses business software applications (e.g., Word processing, presentation and spreadsheets) to prepare correspondence, reports, presentations, agendas, minutes, and may prepare responses to routine correspondence and inquiries. It receives, screens and directs incoming calls, visitors, mail and e‑mail, maintains files, records, calendars and diaries, typically arranges business travel, coordinates meeting arrangements, and tracks expenses. The work is performed within established procedures with a moderate degree of supervision and the candidate serves in a non‑exempt capacity. The position also helps with planning and coordination for large group meetings.
Responsibilities
Work closely with Supply Chain leaders to ensure business meetings, planning activities, and events are well coordinated.
Use business software applications (e.g., Word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, etc.
Support recurring or strategic meetings by developing agendas, meeting minutes, and coordinating participants’ availability.
Receive, screen and direct incoming calls, visitors, mail and e‑mail.
Maintain files, records, calendars and diaries.
Arrange business travel, coordinate meeting arrangements, and track expenses.
Help coordinate office supplies and mail services for shared space.
Assist with event planning.
Basic/Required Qualifications
Bachelor’s degree.
At least 2 years of related work experience.
Or, in lieu of a bachelor’s degree, a high school diploma or GED and at least 4 years of related work experience.
Desired Qualifications
Proactive and dependable.
Prior experience supporting an executive at VP level.
Excellent verbal and written communication skills.
Experience with business tools such as Teams, Outlook, PowerPoint, Word, and Excel.
Prior event planning experience.
Working Conditions
Onsite: work will be performed at a company facility.
Preferred hours: 8:00 AM – 4:00 PM.
May require some travel (5%–10%).
Travel Requirements
5%–15% travel.
