Job Summary
The Patient Access Representative (PAR) plays a central role in patient registration and scheduling. Depending on the setting, the PAR may focus on registration, on scheduling, or perform both. In addition, the PAR may rotate to multiple Sanford locations as a Float PAR. The position includes a broad range of duties that support patient flow, financial responsibility, and data management, and mentors new staff while upholding professional confidentiality.

Responsibilities

Provide patient registration and appointment scheduling services, including verifying demographics, creating electronic files, and managing related paperwork.

Collect co‑payments, pre‑payments, and account balance payments.

Resolve registration work‑queue issues such as errors, denied claims, and database maintenance.

Schedule patient appointments, obtain referrals, conduct pre‑authorization, arrange interpreter services, and check patients in and out.

Collaborate with nursing teams and providers to coordinate appointments and manage recall and waitlists.

Operate multi‑line phones and coordinate provider schedule as required.

Perform additional duties such as chart preparation, pre‑payment coordination, financial assistance collaboration, prior authorization, data entry, billing, reminder calls, and weekly/monthly reporting.

Serve as a mentor for new PARs and other staff, maintaining professionalism and a respectful workplace.

Maintain confidentiality of sensitive information and deliver excellent customer service with empathy.

Qualifications
High school diploma or equivalent preferred; post‑secondary education is helpful. Minimum one year of work experience, preferably in a medical office setting, with at least six months of customer service experience. Medical terminology knowledge is helpful. Certain locations may require BLS certification.
