
Maintenance Operations Coordinator in Miami

Summary/objective
The operations coordinator plays a crucial role in ensuring the smooth day‑to‑day effectiveness of the Maintenance Operations department. The key responsibilities include managing parts inventory, asset fleet data and accuracy, logistics coordination, driving process efficiency, and providing high-level external and internal customer service. This role serves as a central point of communication between maintenance teams, vendors, and operations leadership to ensure parts availability, accurate asset tracking, timely deliveries, and reliable reporting.
Essential functions
Maintain accurate inventory records for maintenance parts, consumables, and materials across locations
Track parts usage, receipts, transfers, and returns within inventory and maintenance systems
Coordinate with vendors on parts ordering and follow‑ups while supporting forecasting of commonly used parts to maintain operational readiness and reduce shortages and urgent purchases
Conduct regular cycle counts and resolve discrepancies in a timely manner
Utilize and become an expert in the maintenance and inventory management software
Update fleet and equipment records in fleet management systems
Track asset locations, status changes, and movements between locations
Support fleet data accuracy for reporting, audits, and operational planning
Manage the Bills of Lading and ensure their accuracy by verifying all units in and out of the shop
Coordinate transportation of equipment with logistics brokers, customers, shop managers and the sales department
Track shipments and provide status updates to internal stakeholders
Work with logistics providers and vendors to resolve delays or issues
Enter, maintain, and validate data in maintenance, inventory, and fleet systems
Generate routine and ad‑hoc reports related to inventory levels, fleet status, and logistics activity
Support data cleanup, standardization, and process improvements to improve system accuracy
Assist management with operational reporting and documentation as requested
Assist with unit location management and physical unit counts
Support cross‑functional coordination to ensure smooth maintenance operations
Ad‑hoc projects
Competencies (Knowledge, Skills and Abilities)
Proficient in Microsoft Suite - Excel, Outlook, Word
Ability to professionally communicate concisely and timely. Requires excellent written and verbal communication skills
Strong analytical, organizational and motivational skills
Strong interpersonal skills
Strong organizational skills and the ability to prioritize multiple tasks
The ability to flourish in a fast‑paced environment
Experience working in inventory, maintenance, or ERP systems
Strong attention to detail
