Job Description
The Graduate Admissions Associate plays a pivotal role in guiding prospective medical and veterinary students from initial engagement through enrollment. This is a consultative, student‑facing role focused on building trust, providing expert guidance, and helping applicants confidently navigate one of the most important decisions of their lives. This position blends high‑touch advising, structured evaluation, and conviction‑building enrollment support. Graduate Admissions Associate serves as a trusted partner to applicants, helping them understand program fit, readiness, and next steps, while also ensuring a smooth and supportive transition from acceptance to matriculation. The role may focus primarily on early‑stage admissions (prospect through admissions decision) or late‑stage enrollment (acceptance through census) based on team needs and individual strengths, while operating under a unified title and skill profile. Success in this role requires emotional intelligence, consultative communication skills, strong judgment, and the ability to guide students with both empathy and clarity.

Responsibilities

Support one or more of our three MedVet institutions: Ross University School of Medicine, Ross University School of Veterinary Medicine, and the University of the Caribbean School of Medicine.

Serve as a primary point of contact and trusted advisor for prospective and accepted students.

Build strong, professional relationships through phone, video, text, email and digital communication.

Lead structured, meaningful conversations that uncover student motivations, goals, concerns, and readiness.

Provide personalized guidance to help students make informed, confident enrollment decisions.

Address hesitation, uncertainty, or barriers with clarity, empathy, and solution‑oriented advising.

Conduct structured applicant discovery conversations and document professional evaluations for Admissions Committee review.

Guide applicants through admissions requirements, timelines, and preparation expectations.

Partner with Enrollment Operations to ensure files move efficiently through the review process.

Communicate admissions decisions and next steps with professionalism and care.

Support accepted students through the enrollment process from acceptance to matriculation.

Provide proactive outreach to maintain engagement, momentum, and confidence.

Educate students on enrollment steps including documentation, housing, financial readiness, and program preparation.

Collaborate with student finance, housing, academics, and student services to ensure a smooth transition.

Actively manage a pipeline of prospective and/or accepted students to ensure consistent progress toward enrollment.

Maintain accurate and timely documentation in CRM and student information systems.

Follow structured outreach strategies while tailoring conversations to individual student needs.

Deliver engaging virtual and in person presentations to prospective and accepted students, including webinars, information sessions, and onboarding events, to educate and inspire confidence.

Travel domestically and internationally to represent the institution at recruitment events, host campus or island tours, and support experiential opportunities for aspiring students.

Partner closely with Admissions Operations, Enrollment, Student Finance, Academics, and Student Services.

Participate in training, coaching and skill development to continuously improve advising effectiveness.

Share feedback and ideas to enhance the student experience and admissions processes.

Represent institutional values and brand standards in all interactions.

Perform other duties as assigned.

Qualifications

Bachelor's Degree in business or related field required.

3+ years in admissions, enrollment advising, consultative sales, or student‑facing recruitment required.

3+ years in higher education preferred.

Strong consultative communication and relationship‑building skills.

Confidence in leading structured conversations and interviews.

Strong judgment and ability to assess student readiness and fit.

Ability to guide decisions through trust, credibility, and empathy.

Collaborative team player with a growth mindset.

Highly organized with strong follow‑up and time management skills.

Comfortable working in a performance‑driven, student‑centered environment.

Proficiency with CRM systems, databases, and Microsoft Office tools.

Ability to work flexible hours, including occasional evenings or weekends as needed.

Willingness to travel occasionally and work in a remote or hybrid environment as required.

Benefits and Compensation
In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $60,000—$80,000. Actual pay will be adjusted based on job‑related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility. The position qualifies for the following benefits:
