Position Summary
The Medical Assistant Scribe performs all clinical and office duties of a Medical Assistant as well as performs clerical and information technology functions for a physician in a clinic setting when acting in the capacity of a Medical Scribe.

Essential Functions and Responsibilities

Understands and adheres to the WPH Performance Standards, Policies and Behaviors.

Fulfills patient care responsibilities as assigned that may include checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking transfers, dressing, collecting specimens, preparing for exam, etc.; obtaining patient history; performing screenings per provider guidelines; assisting providers
urses with various procedures; charting; relaying instructions to patients and families; answering calls.

Fulfills responsibilities as assigned that may include sending and receiving patient records and documents; scheduling surgical procedures and tests; obtaining pre‑certification for health care services; verifying insurance coverage and patient demographics; managing and updating charts to ensure that information is complete.

Maintains orderliness and cleanliness of examination rooms; stocks assigned rooms and insures par levels of supplies are maintained; checks and completes required logs and equipment including refrigerator logs, eyewash logs, sample medications, AED, suction and other required checks.

Fulfills environmental responsibilities as assigned by department protocols including cleaning exam/procedure rooms, maintaining infection control protocols, keeping appropriate records, ordering, sorting, storing supplies and restocking exam/procedure rooms.

Assists providers with management of EPM and EHR.

Fulfills organizational responsibilities as assigned including respecting and promoting patient rights, responding appropriately to emergencies, and communicating concerns or problems relating to patients and or staff with the immediate supervisor.

Fulfills medical assistant responsibilities including medical and surgical asepsis, sterilization, instrument wrapping and autoclaving, obtaining vital signs, physical examination preparations, assisting with procedures and examinations as required, occupational safety and health administration guidelines, quality control methods, assisting in the collections and appropriate handling of laboratory specimens, performing electrocardiography and other office specific tasks as necessary, and may perform waived lab testing as allowed under limited lab permit when applicable.

Accurately and thoroughly documents medical visits and procedures as they are performed by the physician, including:

Patient medical history and physical exam.

Procedures and treatments performed by healthcare professionals, including nurses and physician assistants.

Patient education and explanations of risks and benefits.

Physician‑dictated diagnoses, prescriptions and instructions for patient or family members for self‑care and follow‑up.

Preparing referral letters as directed by the physician and ensuring they are mailed or faxed on a daily basis to all physicians involved in a patient’s care, with all copies of pertinent reports or tests attached.

Researching contact information for referring physicians, coordinating referrals, preparing operative reports, making phone calls and other clerical tasks as assigned.

Ensuring that all clinical data, lab or other test results, and the interpretation of the results by the physician are recorded accurately in the medical record and alerting the physician when the chart is incomplete.

Complying with specific standards that apply to the style of medical records and to the legal and ethical requirements for preparing medical documents and for keeping patient information confidential.

Collecting, organizing, and cataloging data for physician quality reporting systems and other quality improvement efforts and formatting for submission; assisting in developing and maintaining systems to track patient follow‑up and compliance.

Proofreading and editing all the physician’s medical documents for accuracy, spelling, punctuation, and grammar.

Participates as a member of the patient care team and participates in daily huddles and regular scheduled practice team meetings.

Adheres to White Plains Hospital infection control standards including hand hygiene, use of PPE, isolation of patients with known infectious disease, and equipment disinfection and sterilization.

Completes annual mandatory requirements including occupational health requirements.

Attends mandatory in‑services and staff meetings as required or requested.

Adheres to all WPH policies and procedures including dress code, behavioral standards and code of conduct, customer service and attendance.

Performs all other related duties as assigned.

Education and Experience Requirements

High school diploma or general equivalency diploma (GED) required.

Successful completion of a six‑month to one‑year course in Medical Assisting at an accredited school, required.

Certified Medical Assistant from the American Association of Medical Assistants, preferred.

BLS certification through the American Heart Association required for all Medical Assistants as of July 15th, 2018.

Medical Assistants must have BLS upon hire or obtain within 3 months of hire.

Basic medical terminology, electronic scheduling and electronic medical record experience preferred.

Minimum one year of recent experience working in a medical facility as a medical assistant, preferred.
