Shift: Monday - Friday with some weekends as needed

Job Summary
The
IWMS Manager
oversees the strategy, administration, and continuous optimization of the organization’s Integrated Workplace Management System (IWMS). This role ensures accurate and reliable data across real estate, space, personnel, move management (MAC), maintenance, sustainability, and capital projects to support day to day operations and long term strategic decision making in an agile environment. The role requires strong cross functional coordination, hands on system administration, data stewardship, analytics, and reporting capabilities to drive operational excellence and continuous improvement across multiple sites.
Essential Duties and Responsibilities
Serve as the primary administrator for IWMS platforms, including JCI OpenBlue – FM:Systems and SCLogic, ensuring system stability, security, and performance.
Define and maintain the IWMS vision, roadmap, data standards, and governance model, aligning system capabilities with Real Estate, Facilities, IT, HR, Finance, EHS, Security, and Sustainability objectives.
Own system configuration, role based access, integrations, environments, upgrades, and vendor relationships; ensure compliance with internal policies and data security standards.
Establish and enforce data models, master data controls, validation rules, and audit processes to ensure high quality data for locations, assets, space, personnel, leases, work orders, and projects.
Map, document, and optimize IWMS workflows including:
Space planning and utilization
Moves, Adds, and Changes (MAC)
Maintenance and service requests
Reservations and wayfinding
Lease and capital project management
Develop and maintain dashboards, analytics, and reports supporting occupancy, utilization, maintenance KPIs, SLAs, lease obligations, sustainability metrics, and project performance.
Support space inventory, stacking plans, utilization analytics, and workforce planning initiatives.
Partner with stakeholders to lead change management, communication, and training programs for end users and system contributors.
Provide helpdesk oversight and user support, including troubleshooting, training, and documentation.
Test systems during upgrades, enhancements, and program changes to ensure continuity and data integrity.
Identify opportunities to leverage analytics and AI enabled insights to improve operational efficiency and decision making.
Perform other duties as assigned.
Required Experience & Qualifications
2–4 years of IWMS administration experience, with demonstrated hands on use of space management, personnel data, and move management (MAC) modules.
Proven ability to coordinate across multiple sites, teams, and resources in a dynamic environment.
Strong communication, organization, and problem solving skills, with the ability to translate operational needs into system solutions and reports.
Experience supporting continuous improvement initiatives through data, analytics, and reporting.
