The HR Administrator provides essential administrative and coordination support to the Human Resources team, helping ensure smooth day‑to‑day HR operations and a positive employee and candidate experience. This role supports recruiting logistics, onboarding, employee programs, training, and internal communications, while also serving as backup administrative support for executive calendars and/or meeting logistics in HR, Finance, and Supply Chain.
This role performs clearly defined professional tasks under close supervision while developing foundational knowledge and skills within the job area.
This role is primarily based onsite at our Westlake Village, CA office, with an expectation of working on‑site 4–5 days per week. Limited flexibility to work in a hybrid arrangement may be available on occasion based on business needs.
Responsibilities
Recruiting & Interview Support
Coordinate interview scheduling across candidates, hiring managers, and interview teams
Arrange interview travel when needed, including flights, accommodations, and itineraries
Send candidate evaluation forms to hiring teams and follow up as needed
Support reference check coordination and follow‑up
Onboarding & Employee Experience
Prepare and process new‑hire paperwork and onboarding materials
Coordinate company swag preparation and mailing for new hires
Support new‑hire logistics to ensure a positive first‑day experience
HR Programs & Culture Initiatives
Administer values‑based recognition and awards programs
Prepare and maintain employee talent bios and internal profiles
Coordinate sympathy gifts and other employee care initiatives
Process tuition reimbursement and educational gift matching requests
Manage recurring employee engagement activities (e.g., monthly parking raffle, Fun Squad admin support)
Training and Development Support
Oversee set up and registrations for all courses
Workshop registration changes
Coordinating workshop logistics and printed materials
Track and maintain training completion records, both outside and within the Learning Management System
Support audits and reporting related to training and documentation as needed
Leadership cohort coordination and communications (Pending activation)
Coordinating 360 assessments and coaching sessions (Pending activation)
Coordinating external coaches (Pending activation)
Mentor program administration (Pending activation)
Communications & Administrative Support
Maintain and organize employee files and file room to ensure accuracy and compliance
Assist with drafting and distributing organization‑wide announcements
Provide backup administrative support for executive calendars and meeting logistics
Manage and reconcile HR pCard monthly
Act as company main point of contact for ordering and purchasing business cards
Support general HR administrative tasks and special projects as assigned
Other duties as assigned
Qualifications
1‑3 years of experience in HR, administrative, or coordinator role
Strong organizational and time‑management skills with high attention to detail
Excellent written and verbal communication skills
Ability to handle sensitive and confidential information with discretion
Proficiency with Microsoft Office (Outlook, Word, Excel, Teams)
Preferred
Prior experience supporting recruiting, onboarding, or HR operations
Experience coordinating calendars or supporting executives
Familiarity with HR systems or applicant tracking systems (ATS)
