Position Summary
We are seeking a highly organized and patient-centered

Psychiatry Medical Assistant (MA), Level I

to join our interventional psychiatry program providing Transcranial Magnetic Stimulation (TMS), IM/IV ketamine therapy, and Spravato® (esketamine). This role is ideal for an MA who values clinical precision, regulatory compliance, and high-quality behavioral health care in a specialty medical setting.

Key Responsibilities
Clinical Support – Psychiatry

Room patients; obtain vitals; reconcile medications and allergies; prepare charts.

Administer and score psychiatric screening tools (PHQ-9, GAD-7, MDQ, ASRS, HAM-D, MADRS, Y-BOCS, PTSD checklists).

Support medication management workflows: refills, prior authorizations, pharmacy coordination, and controlled substance documentation.

Assist with ADHD and cognitive assessments (e.g., QB, Creyos).

Monitor patient safety, including suicide risk screening and emergency escalation.

Interventional Psychiatry
TMS (Transcranial Magnetic Stimulation)

Prepare treatment rooms and equipment; perform daily device safety checks.

Assist with patient positioning, coil placement, and session setup.

Monitor for side effects and document treatment parameters.

Track treatment schedules, adherence, and communicate patient progress.

IM/IV Ketamine Therapy

Perform intake, vitals, and pre-treatment screening.

Support IM/IV setup and infusion workflows using sterile technique.

Monitor vitals, mental status, and adverse reactions during and after treatment.

Coordinate recovery, discharge criteria, and transportation.

Esketamine (Spravato®)

Administer and document treatments in compliance with REMS under provider supervision.

Perform required monitoring during observation periods.

Ensure secure medication handling and patient education.

Documentation, Compliance & EHR

Document all treatments, vitals, screenings, and care coordination in the EHR.

Prepare charts; track labs, imaging, and outside medical records.

Maintain controlled substance logs, medication inventory, and audit‑ready documentation.

Support quality assurance initiatives and regulatory compliance (HIPAA, REMS, OSHA).

Patient Communication & Clinic Operations

Serve as a primary patient contact for scheduling, medication questions, referrals, and forms.

Support telehealth and in‑person visits; manage phone, voicemail, email, and internal messaging.

Maintain treatment rooms, recovery areas, and supply inventory.

Assist with insurance verification, benefits, prior authorizations, and billing coordination.

Participate in team huddles, staff training, and continuous improvement.

Qualifications
Required

Certified or Registered Medical Assistant (CMA/RMA) or equivalent experience.

BLS certification (required).

Proficiency with EHR systems and Microsoft Office.

Knowledge of HIPAA, patient privacy, and medical terminology.

Ability to work accurately in a fast‑paced, protocol‑driven clinical environment.

IV certification (or ability to obtain).

Preferred

2+ years in psychiatry, behavioral health, substance use treatment, or specialty medical clinics.

Experience with psychiatric medications, controlled substances, and prior authorizations.

Exposure to TMS devices, IV therapy, ketamine infusions, or Spravato® REMS programs.

Strong organizational skills, attention to detail, and professional communication.
