FL Reinstatement/Billing Legal Assistant

Job Summary
The role of the Legal Assistant (Foreclosure Billing, Payoff and Reinstatement) is to ensure the timely and accurate processing of all foreclosure related billing, payoffs, reinstatements and fees and costs quotes. The ideal candidate will possess payoff/reinstatement and foreclosure experience. This essential role requires strong organization, keen attention to detail, proactive time management and excellent communication and follow‑up skills.

Duties and Responsibilities

Handle processing of all requests from borrowers and clients for payoff and reinstatement quotes.

Review incoming payoff or reinstatement funds and ensure that funds are sent to the client via the required overnight process within 24 hours of receipt of funds.

Handle client requests for fees and costs quotes.

Review file for invoicing, create line items and attach backup documents.

Effectively communicate with clients and borrowers to ensure accurate customer service.

Create, manage and execute fee approvals within internal case management system and all client systems.

Appropriately maintain and process sensitive and confidential information.

Perform other duties and responsibilities as needed.

Supervisory Responsibilities
This role does not require the exercise of supervisory responsibilities.

Education and Work Experience

Associates or Bachelor’s Degree preferred but not required.

At least one year of work experience in a Foreclosure Firm.

Knowledge of foreclosure fees, payoffs and reinstatements is a plus.

Knowledge, Skills, and Abilities

Strong written and verbal communication skills.

Fee requests/approvals with billing experience in a high transaction volume law firm is preferred.

Proficiency with Excel and other Microsoft products.

BKFS, Vendorscape, SSE Portal and TEMPO experience preferred.

Proficiency in the Judicial foreclosure process.

Ability to manage and prioritize multiple projects.

Good attitude and willingness to adapt to change.

Excellent organizational skills.

Identifies and resolves problems in a timely manner.

Balances team and individual responsibilities.

Contributes to building a positive team spirit.

Demonstrates accuracy and thoroughness.

Looks for ways to improve and promote quality.

Physical Demands
The job requires frequent sitting, occasional standing, walking, using hands to finger, handle or feel, reaching, stooping, kneeling or crouching, and the occasional lifting of up to 25 pounds. Specific vision abilities required include close vision and the ability to adjust focus.

Work Environment
