Job Summary
The Crisis Coordinator provides organizational and administrative support for the Mobile Crisis Outreach Team(s) (MCOT), including triage of clinical and operational calls, and providing timely response to community partners and KMHS staff requests. They coordinate communication between the team, external referral sources and community partners, serving as a point of contact with other departments and teams within KMHS. They complete daily and weekly reports for programming and funding requirements.
General Summary of Duties
Receive phone calls, take messages and route to the appropriate clinician(s) in an effective and timely manner. Ensure prompt and courteous responses to all internal and external customers. Be capable of triaging crisis situations and assign calls appropriately.
Assist members of the MCOT in gathering information on crisis calls, as necessary. Maintain a familiarity with Medical Records procedures, the Electronic Health Record (EHR) in order to access necessary information in a timely and effective manner.
Maintain a system for tracking location(s), ETA, and to ensure the ability to contact members of the MCOT who are in the field.
Complete, edit, type, and/or distribute forms, internal or external correspondence, reports, etc., as requested. Ensure that all written or typed communication is prepared in a neat, accurate, and professional manner.
Maintain neat and accurate legal program files, records, and logs on an ongoing basis.
Perform data entry tasks into the EHR in an accurate, timely, and efficient manner in order to ensure data integrity and ease of retrieval on data for the MCOT.
Complete scanning/attachment of various external and internal documents to maintain EHR system for the MCOT, as well as other departments, whenever requested.
Maintain complete knowledge of legal documentation and agency forms and procedures and how they should be completed.
Maintain a system for tracking LRA’s in the community, ensuring that clinicians are apprised of potential court appearances, and for tracking other matters that require action on a periodic basis. Data enter into the EHR all LRA reports as well as scan all LRA documents into the EHR.
Maintain a complete and accurate database of all MCOT forms in the word-processing system; revise and update as necessary. Assist in the maintenance of up-to-date Policy and Procedure and Training manuals. Ensure that updated information and forms are placed in the manuals in a timely manner.
Maintain adequate levels of readily available supplies for MCOT. Prepare requisition forms as necessary to maintain supplies.
Create and maintain weekly work schedules for MCOT. Ensure that copies of the schedule are delivered to MCOT and administration.
Assist MCOT leadership in setting up team meetings, producing agendas, and writing minutes.
Interface with other agency departments to best serve the clients and support the team.
Attend to the neatness and orderliness of the work areas. Process work orders as necessary to ensure facility and janitorial needs get met. Process IS work orders as necessary to ensure that all unit computer stations, copiers, telephones, and fax machines are maintained in working order.
Disclose limited client information as necessary to the position as trained. Disclosures must adhere to HIPAA privacy and security standards and be logged in detail according to agency policy and procedures. Complete all required training and annual refreshers.
Assist team in keeping HIPAA standards.

Minimum Qualifications
EDUCATION:
High School Diploma or GED
EXPERIENCE:
Experienced (minimum 3 years of job-related experience). Expertise in Microsoft suite (competency in producing Excel reports) and experience using an EHR.
LICENSURE:
Agency Affiliated Counselor Registration within 90 days of hire.
Preferred Qualifications
EXPERIENCE:
Familiarity or experience in behavioral health services.

Maintain basic knowledge of medical records, IS, and agency procedures and forms to answer staff questions and facilitate problem-solving.
SKILLS:
Skill in establishing and maintaining effective working relationships with other employees, clients, organizations, and the public.

Communication – Communicates clearly and concisely.
Computer skills - Proficient in Word, Excel, and PowerPoint, and other Microsoft Office environments.

Demonstrated ability to work in stressful situations (i.e., clients in crisis, numerous telephone calls).
Demonstrated ability to work independently and as a team member.
The ability to operate a personal computer, fax machine, printer, and copier proficiently.

Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment
Office. Frequent mobility and/or sitting required for extended periods.
Mental/Physical Requirements
While performing the job duties, the employee must walk, sit, use hands and fingers, reach with arms, talk, and listen. Peripheral vision is also required for this position.
