Position Overview
spēks is seeking a highly organized and detail-driven Operations Project Coordinator to support our fulfillment, inventory, and client service operations. This role blends hands‑on logistics with administrative coordination, order management, and operational oversight.

Reporting directly to the Head of Operations, you will play a critical role in ensuring online and internal orders are processed accurately, inventory is maintained, and day‑to‑day operational projects run smoothly. Key Responsibilities
Order Fulfillment & Shipping

Pack and ship orders according to client specifications and internal documentation.

Create and manage shipping labels using carrier platforms such as FedEx and DHL.

Build and maintain ready‑to‑ship client swag kits.

Ensure all shipments are accurate, timely, and properly documented.

Order Processing & Data Management

Process and enter online orders into internal systems with a high level of accuracy.

Review orders to confirm pricing, inventory allocation, and shipping details.

Identify and resolve discrepancies related to order details or shipping information.

Inventory & Operational Oversight

Count in and inspect incoming inventory for accuracy.

Review in‑house deliveries to confirm production quality and correctness.

Maintain and update the inventory, ensuring accurate counts and client‑specific tracking.

Monitor stock levels and communicate potential shortages proactively.

Customer & Internal Communication

Answer incoming calls and direct inquiries appropriately.

Provide professional support via phone and email regarding order status and fulfillment timelines.

Collaborate with internal team members to ensure seamless project execution.

Office & Workspace Management

Maintain a clean, organized, and efficient shipping area.

Ensure operational spaces remain orderly and functional.

Support special projects and initiatives as assigned by the Head of Operations.

Skills We’re Looking For
Required

Bachelor’s degree in Marketing, Business Administration, or other related fields.

Strong organizational and administrative skills.

Ability to manage multiple projects and priorities simultaneously.

Preferred

Experience in fulfillment, operations, or customer service.

Familiarity with shipping carrier platforms (USPS, UPS, FedEx, DHL).

Experience with online order processing or eCommerce systems.

Background in promotional products, print, or branded merchandise industries.

Work Environment

Part‑time: 15–20 hours per week (under 30 hours weekly)

Opportunity for increased hours and potential transition to full‑time based on performance and business needs

Flexible shifts within Monday–Friday, 8:00 a.m. – 4:00 p.m.

On‑site in Tempe, AZ (remote/hybrid not available)

Compensation: Starting at $20 per hour, based on experience
