Overview

NelsonHCS is a specialized General Contractor and Mechanical Contractor focused 100% on the healthcare construction industry. We are seeking a Proposal & Marketing Coordinator to serve as the administrative lead for our bidding and proposal processes while managing our public brand. This role requires a high level of technical organization to assemble project qualifications and a creative eye to handle social media and event planning. While marketing skills are essential, a strong background in the construction proposal and prequalification process is the foundation of this role.
Bidding & Proposal Processes

Technical Proposal Assembly : Lead the end-to-end compilation of complex Design-Build and GMP proposals. This includes organizing the \"Company Response,\" \"Table of Contents,\" and \"Project Experience\" sections.
Project Profile Development : Create and maintain \"Project Profiles\" that highlight technical data such as client references, project values, and team members.
Resume & Team Coordination : Collect and format professional resumes for internal staff and coordinate with external Architect and Engineering partners to gather their specific project experience for joint submissions.
Bidding Portal Management : Facilitate final submissions through online portals like e-Builder and ensure all RFI deadlines and bid dates are met with 100% compliance.
Electronic Record Keeping : Maintain a strict and organized folder structure within Windows Explorer to manage all contract documents, drawings, and RFP addenda.
Marketing & Public Relations

Social Media Content : Develop and execute a social media strategy that showcases project milestones, \"Uninterrupted Patient Care\" successes, and company culture.
Public Relations & Awards : Research local and national industry award opportunities and draft submittals to enhance the company’s public image.
Special Event Planning : Organize and lead company events, including holiday parties, team-building activities, and client appreciation outings.
Outreach Coordination : Manage relationships with marketing counterparts at client firms, architects, and engineering partners to support business development efforts.
Qualifications

Industry Experience : Minimum 4 years of experience in construction proposal coordination and bidding. Deep familiarity with

Healthcare Construction (HCAI/OSHPD)

and AEC terminology is highly preferred.
Software Proficiency : Expert skills in

Adobe InDesign

for professional page layout and document assembly. Professional proficiency in the Microsoft Office Suite.
Organizational Skills : Exceptional ability to track multiple bid schedules, RFI due dates, and mandatory job walks simultaneously.
Creative Ability : Proven ability to translate technical construction achievements into engaging public relations and social media content.
