This is a part-time position working up to 20 hours per week.

The hiring range for this position is 27.80-32.38 per hour dependent on experience.

Summary/Objective

The Marketing and Design Specialist executes the day-to-day production and implementation of Warren Village's communications and marketing plan under the direction of the Marketing and Communications Manager. This role is responsible for creating visual and written content, designing marketing materials, managing social media channels, maintaining digital assets, and providing design and technical support for communications initiatives. The Specialist works closely with the Marketing and Communications Manager to bring strategic plans to life through high-quality, on-brand execution with a strong emphasis on visual design excellence.

Key Responsibilities:

Social Media Management & Execution

Create, design, and schedule social media posts across Facebook, Instagram, X and LinkedIn following brand guidelines and content calendar
Monitor and respond to social media community engagement in a timely and authentic manner
Implement social media marketing strategies as directed by Marketing and Communications Manager
Track social media metrics and provide regular performance reports
Research and recommend social media partnerships with influencers and aligned organizations
Stay current on platform updates, trends, and best practices
Explore innovative ways to expand reach and engagement on social platforms
Visual Content Creation & Design

Design graphics, social media posts, email campaigns, and promotional materials using Canva, Adobe Suite, and other design tools
Create event invitations, programs, signage, and other collateral as directed
Produce visually compelling content that adheres to brand guidelines
Edit and optimize photos and videos for use across multiple platforms
Create templates and design systems for recurring content needs
Ensure all visual content is accessible and optimized for intended use
Digital Asset Management

Maintain and organize comprehensive library of photos, videos, and digital assets
Ensure assets are properly tagged, catalogued, and easily accessible
Manage file naming conventions and folder structure
Archive materials appropriately and maintain version control
Coordinate with photographers/videographers to obtain necessary assets
Photography & Videography

Capture photos and video footage at events, programs, and community activities
Conduct occasional photo/video shoots with residents and staff (as directed)
Edit raw footage into polished final products for web and social media use
Ensure all media captures the mission and spirit of Warren Village
Obtain necessary permissions and releases for use of photos/videos
Content Writing & Production

Write blog posts on assigned topics that align with content strategy
Draft social media captions and copy that engage audiences and drive action
Write advertising copy for digital and print campaigns
Collaborate with Marketing and Communications Manager on story development
Edit and proofread content for clarity, accuracy, and brand voice
Assist with gathering success stories and highlights from program staff and residents
Website Maintenance

Make routine content updates to WordPress website as directed
Create temporary pages for special events and campaigns
Optimize web content for search engines using appropriate keywords
Test website functionality and report issues
Ensure website content is current, accurate, and user-friendly
Implement SEO best practices in all web content
AI & Technology Integration

Utilize AI tools appropriately to enhance efficiency and quality of work
Integrate new tools and platforms into workflow as appropriate
Email Marketing & Digital Communications

Design and schedule e-blasts and email campaigns using Constant Contact or similar platforms
Ensure email campaigns are mobile-responsive and visually appealing
Track email performance metrics and report results
Maintain email lists and subscriber database
Implement email marketing best practices
Administrative & Support Functions

Assist with coordination of printing quotes and vendor management
Maintain organized files and project documentation
Track project timelines and deliverables
Communicate proactively about project status and potential issues
Support event planning and execution as needed
Other duties as assigned by Marketing and Communications Manager
Serve as a professional representative of Warren Village, maintaining responsiveness, courtesy, and flexibility for occasional evenings or weekends.
Qualifications

Required:

Associate's or Bachelor's degree in Graphic Design, Visual Communications, Marketing, Journalism, or related field (or equivalent experience)
2-4 years of graphic design experience (nonprofit or mission-driven experience a plus)
Proficiency in design tools such as Adobe Creative Suite, Canva, or similar platforms
Strong visual storytelling skills and attention to detail
Ability to manage multiple projects and meet deadlines in a part-time capacity
Preferred:

Experience with social media design and digital content creation
Familiarity with email marketing platforms and website CMS tools
Experience using AI-assisted creative tools (e.g., generative design, templates, captioning tools)
Interest in equity-centered storytelling and nonprofit communications
Additional Eligibility Requirements (Certifications, Licenses, etc.):

Must have a valid driver's license and the ability to drive Warren Village vehicles.

Work Environment:

The working environment is that of a typical office setting. The employee is occasionally exposed to moving mechanical parts with regards to filing cabinets, printers, and computers, etc. The noise level in the work environment is usually quiet to moderate.

Physical Demands:

While performing the responsibilities of the position, must constantly be able to remain in a stationary position 50% of the time; occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer. Frequently communicates information and ideas so others will understand; must be able to exchange accurate information in these situations. Must have the ability to observe details at close range.
