About the Database and Development Coordinator Position
The Database and Development Coordinator supports the fundraising and donor engagement efforts of the Foundation by managing the donor database, ensuring data accuracy, and providing high-quality reporting and administrative support. This role is central to maintaining strong donor relationships, optimizing development operations, and enabling the development team to increase revenue to support CFW’s mission.
Position Breakdown
Data Management and Analysis (50%)
Maintain, update, and ensure accuracy of donor and prospect records in Raiser’s Edge NXT.
Create and maintain data entry standards, documentation, and quality‑control procedures. Perform regular database audits to ensure data integrity.
Track donor trends, giving history, and campaign performance to provide data analysis to inform strategy and identify opportunities for donor engagement.
Generate reports, dashboards, and queries to support fundraising campaigns, board and committee meetings, and financial reconciliation.
Assist the Marketing and Communications department by providing lists for online communications.
Manage access to and use of the development information systems, including all aspects of data maintenance, staff training, security and integrity audits, and record‑keeping.
Serve as liaison with systems vendors for issues including installation, upgrades, and patches.
Database Support and Administration (40%)
Support annual fund, major gifts, grants, and special campaigns with data pulls, mailing lists and segmentation.
Manage Foundation stewardship calendar to ensure accurate and timely donor communication.
Process all donations, pledges, and in‑kind gifts. Generate and send acknowledgements, tax receipts, and thank‑you letters in a timely and accurate manner.
Support cultivation activities by preparing briefings, profiles, and research on prospects.
Manage and produce monthly reporting for all donor‑advised fund holders, ensuring accuracy, completeness, and timely distribution.
Communicate among departments to rectify any issues with miscoding.
Assist with event registration, guest list, and post‑event follow‑up.
In coordination with portfolio managers, manage prospect moves management reporting through NXT.
Maintain data for portfolio(s) in Raiser’s Edge, including contact reports, proposals, and other stewardship activities.
Serve as the main contact for inquiries sent to the info email account.
Other (10%)
Attend and actively participate in required educational programs and departmental and staff meetings.
Protect CFW’s value by keeping information confidential.
Update knowledge by participating in educational opportunities; maintaining networks; participating in professional organizations.
Perform other duties as assigned.
Work Environment
This position operates primarily in an accessible office environment. Some work at off‑site locations may be required, and those may not necessarily be fully accessible.
This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, and filing cabinets.
While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand, walk, use hands to finger, handle, or feel; and reach with hands and arms.
The employee may be asked to lift and/or move objects up to 25 pounds.
This position requires attendance during business hours from 9:00 AM – 5:00 PM, Monday through Friday, with two remote days.
Occasional night and weekend hours are required.

Qualifications
A minimum of 3 years of experience in fundraising, development, or database administration
Proficiency in CRM systems, including Raiser’s Edge NXT preferred, and Microsoft Office Suite. Experience with email‑marketing platforms such as Feathr or Constant Contact is a plus
Excellent organizational and time‑management skills
Strong attention to detail and commitment to data accuracy, and the ability to prioritize, meet deadlines, and follow through
Ability to work both independently and as a team member
Excellent communication (verbal & written) and interpersonal skills
Ability to maintain confidentiality in all matters related to the Foundation and its stakeholders

Compensation
Chicago Foundation for Women offers a competitive compensation package for all positions. The comprehensive benefits package includes medical, dental, vision, life, short and long‑term disability insurance, and 403(b) plan with an employer nonelective contribution of 3%. CFW provides paid time off: fifteen vacation days, fourteen sick days, four personal days, two floating holidays, twelve organizational holidays, and two remote days per week (Mondays & Fridays). In addition to paid time off, CFW offers paid leave and sabbatical policies, along with a professional development allowance and membership opportunities. The salary range for this position is $58,925 – $67,000 annually, depending on professional and lived experience.
