Location: All positions onsite. No remote opportunities.
General Overview
Under the general supervision of the Chief Financial Officer, the Budget Director, and the Director of the Department of Corrections Business Office and Supply Chain Management, the Business Manager I is responsible for everyday management of all payment‑cycle activities. This includes tracking, processing, and reconciling payments and expenditures such as purchase orders, invoices, statements, checks, and refund requisitions in compliance with financial policies and procedures. The manager also maintains accurate financial records and conducts accounting work for various Sheriff’s funds.
Key Responsibilities and Duties
Ensure correct approval, sorting, coding, and matching of invoices/receipts.
Liaise and communicate with internal and external clients.
Regularly tabulate data and compile reports.
Process and enter invoices into the accounting system with accurate recording of all relevant information.
Review and process all inmate welfare expenditure and asset forfeiture requests.
Maintain systematic documentation for inmate welfare and asset forfeiture approvals.
Investigate and resolve irregularities or inquiries in invoices.
Reconcile and verify source documents such as invoices, receipts, and computer printouts.
Process accounts and incoming payments in compliance with financial policies and procedures.
Reconcile the accounts‑receivable ledger to ensure accurate posting of payments.
Facilitate invoice payment by sending bill reminders and contacting clients.
Post receipts promptly and organize bills and invoices.
Update financial spreadsheets with daily transactions.
Assist with financial data entry and general bookkeeping.
Maintain data, records, and reports by checking for errors and verifying accuracy.
Attend and take notes at all financial department meetings.
Assist with audits as necessary.
Adhere to current accounting and finance laws and regulations.
Monitor, control, and maintain financial activity of accounts, ensuring expenditures are posted to proper accounts.
Identify, research, and correct questionable expenditures.
Perform clerical functions incidental to accounting activities.
Assist with budget planning and expense analysis.
Coordinate daily financial tasks with the financial management team to optimize workflow.
Maintain an organized office environment and a complete filing system to support financial records.

Ability to calculate and manage accounting figures.
Professional demeanor in correspondence and communication.
Knowledge of various filing and record‑keeping systems.
Capability to maintain and balance a cash drawer and accurate accounting of money received.
Minimum Qualifications
Associate degree in business administration, public administration, accounting, or a related field from an accredited college or university.
At least five (5) years of full‑time paid practical experience equivalent to an advanced bookkeeper.
Intermediate proficiency in Microsoft Office, including MS Word, Excel, Access, and Oracle.
Excellent written and oral communication skills.
Preferred Qualifications
Bachelor’s degree in business administration, public administration, accounting, or a related field.
Experience working in the public sector.
Previous internship at the Cook County Sheriff’s Office.
