Position Summary
The Program Coordinator provides all aspects of administrative program support for The Just Culture Company and Device Safety operations with a focus on client communications, consulting coordination, collaboratives, and educational planning. This role involves many functions, including drafting correspondence, coordinating projects and events, making travel arrangements, editing and formatting comprehensive reports, and proactively anticipating the upcoming needs of the team.
Essential Functions
Administrative & Operational Support: Provide proactive administrative support to professional staff, including Advisors and the Project Manager. Prepare, edit, and format correspondence, meeting minutes, contracts, consulting reports, presentations, and other documents. Organize and maintain electronic files, SharePoint sites, contact lists, and project records. Manage routine scheduling and calendar coordination for internal teams, clients, contractors, and speakers. Screen and triage inquiries, responding directly or routing to the appropriate team member in a timely manner. Coordinate meetings, calls, programs, events, and project-related activities. Assist professional staff with consulting proposal development. Facilitate rapid consulting contract execution through ECRI systems, including CRM, legal, and client operations.
Client & Training Support: Schedule, track, and manage attendance and course completion for private and public courses. Assist clients throughout the course registration, attendance, and completion process. Launch client trainings hosted on the Just Culture portal, including bulk user uploads and manual license assignments. Add learners to the portal and assign trainings, licenses, and exam links as applicable. Add participants to public cohort attendee lists and maintain accurate enrollment records. Send standard course information, registration confirmations, and client follow‑up emails. Create and distribute certificates of completion for learners. Track client course attendance and prepare basic reports.
Order Processing & Shipping Oversight: Process online website orders and ensure timely fulfillment. Create shipping labels using ShipStation. Pack orders and deliver shipments to UPS or USPS. Track inventory of products and shipping materials and determine when reorders are necessary. Maintain and update shipping, orders, and fulfillment tracking sheets. Send shipping confirmations and tracking information for course materials.
Webinar & Event Support: Provide execution support for webinars and virtual training sessions. Coordinate logistics and assist with materials, attendance tracking, and follow‑up communications. Assist with securing continuing education units for ECRI events.
Financial & Contract Support: Review contracts, quotes, and proposals for accuracy and completeness. Input consulting and educational opportunities into relevant systems and ensure timely updates. Review invoices, prepare expenditure reports, and submit billing communications to accounting. Follow up on unpaid invoices as necessary. Provide weekly updates to the Finance Client Accrual Sheet.
Cross-Functional & Marketing Support: Assist the Multi-Media and Advisor teams with marketing and promotional activities. Support project management efforts by tracking timelines, milestones, and deliverables. Ensure SharePoint sites are established, documents uploaded, communications sent, and project tasks completed according to established timelines.

Qualifications
Experience: Minimum of 3 years of administrative, coordinator or related experience.
Experience in Healthcare Preferred: Knowledge of operations of administrative office and/or program area; Experience preparing business correspondence (letters, email) and reports.
Exceptional Organizational Skills Required: Proficient verbal and written communication skills; Demonstrate flexibility to changing organizational priorities; Ability to work independently; Ability to foster or maintain effective working relationships with staff and clients.
Education: Associate degree required.
Computer Skills: Proficient with Microsoft Office 365.
Certifications And Licenses: None specified.
Position Compensation
The salary range for new employees in this position is $43,988.56 – $49,267.19, based on background, experience, and skills. In addition, new employees are eligible for all benefit offerings, including health and welfare benefits, 403(B) retirement savings, and paid time off (PTO), as well as variable compensation.
Physical Demands
This position operates in a remote environment and requires the individual to remain in a stationary position, whether sitting or standing, before a desk or other fixed workspace, most of the workday. The role also requires occasional movement to access and inspect work‑related materials such as file cabinets and standard office equipment. The position requires the ability to operate standard office equipment, including a laptop, keyboard, mouse, webcam, and phone, and to effectively communicate information and ideas to a wide variety of audiences in written and oral form.
