Position Summary
The Internal Communications Specialist plays a hands‑on role in the Communications Division. This position is responsible for developing, implementing, and maintaining Service Oklahoma’s mission‑driven internal communications strategy. The Specialist will lead internal storytelling through close collaboration with supervisors, manage a comprehensive communications calendar, support employee culture and engagement efforts, and oversee all internal communications including regular email updates, twice‑monthly newsletters, and the agency’s intranet. The role also tracks performance analytics, employee surveys, and other data points to inform and refine the strategy.

Position Responsibilities

Develop and execute an internal communications calendar with key employee dates, emails, newsletters, etc.

Implement and maintain brand voice guidelines to ensure consistency across all internal channels.

Formulate high‑quality written and digital content for employee communication.

Manage the twice‑monthly employee newsletter: design, story ideas, writing, editing, and proofreading.

Write, edit, and proof all internal communications, including forms, manuals, emails, and intranet content.

Coordinate all inter‑agency communication through GovDelivery, including distribution list management.

Manage and create content for the agency intranet site.

Work with the communications team to produce digital content for internal audiences.

Collaborate with the executive team, communications team, human resources, and other divisions to align all internal communications.

Partner with the Employee Engagement Manager to foster employee engagement and agency culture.

Collaborate with partners to create quality content for internal‑facing social media posts.

Analyze, track KPIs, and provide quarterly reports to determine whether internal communications meet objectives and to drive continuous improvement.

Manage the agency’s standard operating procedures on the intranet.

Embrace new technologies and approaches to ensure messages are delivered in the most impactful and efficient way possible.

Attend events at the direction of the Sr. Communications Manager and/or Director of Communications.

Other duties as assigned.

Knowledge, Skills & Abilities

Professional and business writing skills, including copywriting and copyediting.

Knowledge of internal communications dynamics.

Proven ability to engage and educate audiences with written and visual content.

Ability to develop content with a consistent brand voice and tone.

Basic knowledge and experience with email marketing platforms.

Basic knowledge of Canva and Adobe Creative Cloud programs (Acrobat Pro, InDesign CC, Photoshop CC).

Ability to measure the success of communication strategies and tactics.

Ability to organize and manage time efficiently.

Creativity and attention to detail.

Ability to work well under pressure and tight deadlines.

Flexibility and active listening skills.

Ability to work in Apple OS X or PC environment, SharePoint, and Microsoft 365.

Education & Experience

Bachelor’s degree in communications, marketing, public relations, advertising, or a related field, plus at least two years of related professional experience.

Or an equivalent combination of education and experience.

Preference

Experience managing content development with various stakeholders (newsletters, intranet content, curated content pieces).

Experience writing for internal, professional, and business audiences.

Applied experience with GovDelivery.

Basic knowledge of Canva and Adobe Creative Cloud programs (Acrobat Pro, InDesign CC, Photoshop CC).

Basic video filming and editing.

Basic knowledge of Asana.

Special Requirements

Schedule may require flexibility, including some weekends and overtime, based on agency needs.

Position may require travel; applicant must have reliable transportation, be willing and able to travel, and possess a valid Oklahoma driver license.

Position requires lifting 10–50 pounds regularly, with assistance as needed.
