Are you highly organised, detail‑oriented, and eager to gain hands‑on exposure across operations and marketing within a prestigious brand environment? This role is a unique opportunity for entry‑level or early‑career professional to build a strong foundation in business operations while supporting real‑world marketing activities at the Steinway Gallery , part of the renowned Steinway & Sons legacy.

This 1‑year contract role offers valuable hands‑on experience, with opportunities for renewal or conversion subject to business requirements and individual performance.

Responsibilities

Provide day‑to‑day administrative and coordination support to the Operations Manager

Assist with logistics coordination such as delivery schedules, stock movements, and event setup

Prepare and maintain basic operational documents (e.g. invoices, purchase orders, delivery notes, tracking records)

Keep vendor, supplier, and service provider records organised and up to date

Support general office administration, including office supplies, facilities matters, and vendor appointments

Assist with scheduling and basic administrative tasks related to the production studio

Act as a coordination point between internal teams and the Company’s appointed marketing agency

Help gather and share key information such as product availability, logistics timelines, event dates, and venues

Support logistics for marketing activities, including events, promotions, and in‑store activations

Perform basic checks on marketing materials to ensure operational accuracy (dates, locations, products)

Coordinate printing, delivery, and setup of marketing collaterals

Maintain simple marketing schedules, trackers, and task lists

Assist with tracking marketing‑related expenses and organising documentation

Provide basic post‑event support, including attendance tracking and feedback collection

Work closely with Sales, Service, and Operations teams to support coordination needs

Take on other reasonable duties assigned by Management within the scope of the role

Specifications

Diploma in Business Administration, Marketing, Communications, or a related discipline

1‑2 years of relevant experience (entry‑level candidates are welcome to apply)

Basic working knowledge of Microsoft Office or Google Workspace

Organised, reliable, and able to follow timelines and instructions

Teamplayer yet able to work independently

Willingness to learn and support both administrative and coordination tasks
