The Producer is a key member of the team. This role is responsible for planning, executing, and delivering multiple key events, including live, hybrid, and virtual formats. This role involves managing the entire event lifecycle, from creative concept and budgeting to reconciliation, while serving as the primary point of contact for clients. The Producer will collaborate with internal teams and external vendors to deliver impactful and memorable experiences, maintaining quality and efficiency throughout the process.

Your Contributions

Lead and manage the planning and execution of events from concept to post-event reconciliation, including budget management, site selection, creative design, technical production, and client communication.

Oversee live programming and technical elements with minimal supervision (e.g., awards shows, panels, summits), and coordinate logistics for both small- and large-scale events.

Collaborate with creative, design, and technology teams to develop event collateral, staging, interactive tools, and presentation assets.

Coordinate with project managers and production staff to ensure timely and accurate delivery of all event components and materials.

Serve as the primary client contact, fostering positive relationships and clear communication throughout the planning and execution phases.

Develop, manage, and reconcile event budgets, ensuring financial accuracy and tracking expenses throughout the event lifecycle.

Negotiate and review supplier contracts to ensure accuracy and maximize cost efficiencies.

Track and report project hours to maintain financial accountability and success.

Maintain close communication with internal teams and external vendors to ensure smooth event operations and quality control.

Create and manage production schedules, logistics, and crew arrangements, including venue instructions and necessary permits.

Support fellow team members as needed, including on-site roles such as speaker management, room coordination, and logistics support.

What We Are Looking For

5-7 years’ event management experience, preferably in an agency environment

Bachelor's Degree preferred

Project management skills, including budget creation, management and reconciliation.

Proficient with Google suite, Zoom and Microsoft Office Suite (including Outlook and Excel, Teams and SharePoint)

Ability to establish relationships and maintain a positive rapport with clients, vendors and suppliers, with the demonstrated ability to manage and grow accounts.

Strong oral and written communication skills.

Proficient negotiating, risk management and contracting skills.

Knowledge of key destinations including venues and suppliers.

Strong team player and willingness to support other team members as required, with demonstrated ability to collaborate with colleagues and clients at all levels.

Creative problem solver, resourceful, team player, ambitious and proactive.

Calm and flexible approach to handling the pressure and stress of ever changing demands.

Organized with excellent time management skills to handle multiple tasks and meet strict deadlines.

Willingness and flexibility to travel is required.

Travel up to 40-60%

This role requires full-time, on-site presence

Essential physical requirements including standing, sitting, typing, handling of materials including lifting / moving item

Compensation
United States Residents: The base pay for this position ranges from $77,700 to $101,000. This role is also eligible for an annual discretionary bonus. (changeasrequired)
