Let's take a next step in your career and make the move into a Sales Coordinator role. This critical role has two key components. The first responsibility is to manage all sales data, controls, leads, and reports by following all procedures to ensure compliance from sales managers when working with all systems, including Delphi, FDC, third‑party integrated and non‑integrated lead providers, and other internal platforms. The second responsibility is to accurately complete a variety of administrative duties requested by colleagues within the Sales and Marketing Divisions in order to provide timely and professional service to our guests.

This position will:
Maintain the Group Rooms Control Log (GRC) and FDC database
Daily logging and distribution of all incoming leads
Research, distribute, and log all leads from Global Sales Offices, telephone and other sources
Give group histories to other hotels, and obtain them on behalf of the hotel as needed
Must have or be able to rapidly develop full knowledge of the Omni Sales Administration Manual and ensure that all standards and procedures are followed
Expert with Salesforce Report Builder and Excel
Attend Weekly Support Staff Meetings
Schedules and prioritizes work load to meet deadlines of all managers
Maintains account files and ensures that all information is included in file, i.e. post‑convention reports, letters, fax information, etc.
Professionally answers calls to the sales office and accurately takes messages, as applicable
Ensure that all managers receive messages in a timely manner
Assists in generating proposals with information accurate and specific to each client
Assists with site inspections
Gathers materials and mails packages to clients as necessary
Takes detailed inquiry leads and submits to appropriate manager
Takes minutes at meetings as directed
Orders office supplies and maintains functionality of office equipment
Other duties as assigned
Support the efforts of the sales team to drive top line revenue for the hotel.
Manages and assigns all sales inquiries for group, catering, and private dining sales.
Assist sales managers with preparation of contracts, proposals, and addendums.
Create departmental POs and maintain inventory of office supplies, collateral, and promotional items
Accurately record and process direct opportunities in hotel sales system (Delphi and Tripleseat)
Assist clients and media in the absence of the Sales Manager
Coordinate client site inspections and preplanning visits
Assist managers with RFP responses, and meeting arrangements as needed
Candidates may possess:
Must be self‑directed, motivated and demonstrate intuitive customer service and interpersonal skills
Passionate for hospitality and effectively engages with internal and external clients
Communicates clearly, concisely, and openly in all interactions
Has exceptional attention to detail, organizational, analytical and time management skills
Multi‑tasks and prioritizes in a fast‑paced work environment
Exercises sound judgment, evaluates situations and utilizes appropriate and creative resources to solve problems
Is technologically savvy, with a working knowledge of Microsoft Office, Excel, Delphi FDC and Opera preferred
