divh2Administrative Assistant For Department Of Music And Liturgy/h2pThe Administrative Assistant for the Department of Music and Liturgy is responsible for information management in all areas related to music and liturgy./ppPrincipal Accountabilities:/pulliAssists with purchasing and maintaining of liturgical supplies./liliAssists with the preparation of special liturgical events; including any need for worship aids and setup/breakdown of liturgical spaces./liliAssists with maintaining Liturgical plans in Planning Center Online Services program./liliAssist with scheduling of wedding anniversary blessings/liliPrepare Reader binder of entrance and communion antiphons for Mass/liliAssist with preparing, printing, and distributing liturgical books for weekend Masses and special liturgies/liliKeep updated digital file of Mass counts/liliAssist with collection of OCIA Baptismal certificates/liliManage Volunteer Group for Vestment Cleaning/liliAttend and help prepare, as necessary, liturgical ministry lead meetings/liliPrint hymn packets for Adult Choir members for weekend Masses, special liturgies, and funeral Masses/liliPrint Cantor packet for weekend Masses, special liturgies, funeral Masses, and wedding Masses/liliMaintain GSCC choral library, oversee volunteers as needed/liliAssist with purchasing music and supplies needed for Music Groups/li/ulpGeneral responsibilities:/pulliAttend parish staff gatherings and Music and Liturgy team meetings as scheduled./liliAttend continuing education opportunities related to responsibilities./liliResponsible for all other projects, tasks, etc., as assigned./li/ulpTypical Decisions and/or Recommendations Made in This Position:/pulliWill make decisions on timing of replenishing supplies./liliWill decide on vendors from a recommended vendor list./li/ulpSupervision Given and/or Received:/pulliDirector of Music and Liturgy/liliLiturgy Coordinator/li/ulpInternal Contacts:/pulliDirector of Music and Liturgy/liliLiturgy Coordinator/liliParish staff/li/ulpExternal Contacts:/pulliLiturgical ministry leads/li/ulpWorking Conditions and/or Physical Requirements:/pulliThis position works in a typical office environment but is subject to stress due to the evolving and quickly expanding needs of the Diocese, tight deadlines and moderate workloads./liliAbility to sit and perform computer work for lengthy periods of time./liliAble to access and maintain centralized departmental files. Involves extending arms and reaching files stored in multiple levels on shelves, climbing up a stepladder to access files./liliAbility to accept work interruptions while still remaining focused on duties./liliData entry via computer keyboard that requires repetitive and frequent hand and wrist movements./liliAbility to lift up to 35 pounds without assistance and up to 60 pounds with assistance./li/ulpTravel Requirements:/pulliInfrequent travel, by car, may be required to Diocese Parishes and/or schools./li/ulpEducation and Experience Preferred:/pulliHigh School Diploma or G.E.D./liliComputer proficiency in Excel, Outlook, Word, and PowerPoint./li/ulpKnowledge and Skills Preferred:/pulliDemonstrated ability to listen empathetically, make peace, and de-escalate/liliDemonstrated history of good judgement./liliDemonstrated aptitude for adaptability and flexibility./liliAbility to use various computer software programs; strong computer skills in Microsoft Office Suite, especially in Word and Excel./liliAbility to use various office machines (copier, fax, phones, calculator, scanner, etc.) or ability to learn./liliAbility to meet deadlines and follow directives from Pastor or Chief of Staff in a timely manner./liliAbility to receive, understand, retain, and complete verbal and written tasks./liliAbility to work independently as well as in teams./liliAbility to provide excellent customer service and work efficiently with staff, clergy, religious, and laity./liliAbility to honor and maintain confidentiality./liliAbility to work well with people from a diverse variety of audiences./liliExcellent organization, prioritization, and communication skills./li/ulpFLSA Designation: (NonExempt) (FT = 40 of hours) (Monday through Friday)/p/div
