We are seeking a Line Producer to own the operational backbone of production—from budgeting and cost control to scheduling, logistics, and on-set execution. This role requires strong financial discipline, comfort with fast-moving production environments, and the ability to build clear systems that keep projects on time, on budget, and audit-ready.
Key Responsibilities
1) Budgeting, Cost Control & Financial Management (Primary)
Build and manage detailed, line-item production budgets from estimate through wrap (AICP-style / bid form formats as needed).
Own forecasting, cost tracking, and variance reporting (burn reports, weekly cost reports, change logs).
Lead bid leveling and vendor comparisons; ensure best value while protecting quality and scope.
Manage purchase orders (POs), vendor onboarding, W-9/COI collection, payment terms, and invoice coordination with Finance/AP.
Maintain spend approval workflows (authorizations, overage approvals, scope changes) with clear documentation.
Track and reconcile petty cash / p-cards / production purchases, including receipts and cost coding.
Coordinate payroll workflow (timecards, kit rentals, fringes) and ensure compliant, on‑time submissions.
Drive financial wrap: final cost report, vendor closeout, reconciliations, and post‑mortem learnings.
2) Scheduling & Production Operations
Build and maintain production timelines across prep, shoot, and post handoff; keep milestones realistic and current.
Translate creative scope into practical production plans (crew plan, shoot days, locations, equipment, permits).
Run pre‑pro meetings, tech scouts, and daily check‑ins; align stakeholders on scope, schedule, and constraints.
Create and manage core documents as needed: call sheets, production books, contact lists, run‑of‑show, and day plans.
Identify risks early (weather, permits, talent timing, product availability) and implement mitigation plans.
3) Logistics, Travel & Field Execution (Primary)
Own end‑to‑end logistics: travel planning (when needed), lodging, ground transport, shipping, and equipment movements.
Coordinate location logistics (permits, COIs, access, parking, load‑in/out, security, power, holding areas).
Manage vendor and rental logistics (holds, releases, pickups/returns, damage checks, insurance requirements).
Ensure on‑set operational readiness (meals/craft, walkies, runs, safety practices, schedule integrity).
4) Vendor, Crew & Stakeholder Management
Source and manage crew, rentals, locations, and production vendors; negotiate rates and terms.
Ensure all crew/vendors are booked with proper paperwork (deal memos, COIs, NDAs, releases as applicable).
Partner closely with Producers/EPs/Creative to align scope, budget, and expectations.
Communicate clearly with clients and internal teams on budget impacts, timing, and operational constraints.
Maintain compliance with permits, insurance requirements, safety protocols, and client‑specific production standards.
Maintain organized, audit‑ready documentation for approvals, costs, and vendor closeout.
Lead post‑mortems to improve budgeting accuracy, vendor performance, and operational workflows.
Required Qualifications
5+ years of experience in commercial, branded, or content production (line producing or equivalent).
Proven ownership of production budgets and cost controls, including forecasting and final reconciliations.
Strong working knowledge of production accounting workflows (POs, invoices, payroll coordination, cost reporting).
Excellent logistics instincts; able to plan and execute multi‑day shoots and complex vendor coordination.
Strong negotiation, communication, and stakeholder management skills.
High proficiency in Google Sheets / Excel (budget templates, tracking systems, pivot tables).
Calm under pressure, proactive, detail‑oriented, and solutions‑driven.
Preferred Qualifications
Familiarity with AICP bidding structures and client procurement / cost reporting expectations.
Experience with production and finance management tools.
Experience supporting multi‑market or cross‑border production (shipping, customs, currency considerations).
Success Metrics
Projects delivered on time, on budget, and with audit‑ready documentation.
Clear, consistent burn reports and variance explanations throughout production.
Minimal production surprises due to proactive planning and risk mitigation.
