Job Description
Manages the day-to-day details of Clients' projects, from initiation to completion on time and within budget with minimal supervision (50%).

Keeps supervisor advised of up-to-date details of projects.

Understands the intricacies of all jobs to communicate effectively with all agency personnel, ensuring projects are correctly executed on time and within budget.

Ensures all agency paperwork, estimates, billing, and timelines are correctly completed and filed.

Manages delegated projects from start to finish with minimal Account Executive supervision.

Prepares projects for submission to client and medical/regulatory teams with regard to references and supporting documentation; coordinates approvals.

Interfaces with the client regarding deliveries, scheduling, project estimates, and miscellaneous issues.

Assists the account group by providing input for the creative team and participating in creative development sessions.

Project & Expenditure Management (20%)

Develops timely and accurate project estimates with input from traffic, creative, and production departments.

Supplies clients with accurate, timely reports (tactical calendars) of budgeted versus actual expenditures.

Provides budget guidelines to creative and production teams on assigned projects.

Annual Communications & Media Plans (10%)

Actively participates in sessions with clients, asking questions and offering suggestions.

Investigates innovative media and sales promotional opportunities, meeting with media representatives and vendors as appropriate.

Conducts secondary research to support planning efforts.

Documentation & Reporting (20%)

Collects all pertinent information and creates complete, accurate project requisitions.

Creates, updates, and distributes client status reports on a regular basis in accordance with client needs.

Writes and distributes detailed conference reports for client meetings on a timely basis.

Creates other documents as required by client needs.

Qualifications

2+ years’ pharmaceutical advertising agency experience with a proven track record of successful client service.

Bachelor’s degree or equivalent business experience within the pharmaceutical or related industry.

Proficiency in MS Office (Excel, Outlook, PowerPoint, Word) and relevant review platforms such as Veeva.

Strong written and verbal communication skills; solid grasp of science and healthcare; thorough understanding of promotional review procedures; adept multitasking and prioritization in fast‑paced environments; meticulous attention to detail; persistent follow‑up capabilities.
