Job Description
This position is responsible for providing outstanding customer service and coordinating reservation details, logistics, and support for meetings and events in spaces managed by the LBJ Student Center (both in the LBJ Student Center and at other indoor and outdoor locations). Meet with clients to understand their needs and ensure successful event execution. Collaborate with members of the LBJ Event Services Team to deliver outstanding event experiences.

Job Duties

Event Planning

– Utilize Mazevo event scheduling software to coordinate reservations, services, and business processes for scheduled events and meetings. Serve as a primary contact for complex, large, or multi-venue events. Coordinate with student organizations, university departments, and external clients to plan event logistics and review policies and procedures. Consult and coordinate event policies and logistics with designated campus partners, including catering, UPD, EHSREM, Student Involvement and Engagement, and Parking and Transportation.

Communication and Collaboration

– Communicate event details including timing, room set‑up, audio‑visual, technology, catering, and custodial needs to Event Services and Building Operations teams. Educate or assist clients on reservation requests and event coordination processes, providing support and troubleshooting to ensure a positive user experience.

Customer Service

– Provide excellent customer service before, during, and after events by proactively anticipating and addressing client needs, responding promptly to inquiries, and troubleshooting effectively. Direct visitors around the Student Center and create a positive guest experience.

Administrative

– Compile reports and event statistics. Provide information for Student Center annual reports and assessment initiatives. Serve as a vital member of the Event Services team by working with event planning and event operations to support LBJ Student Center events and ensure successful events and positive customer service. Serve on various committees and teams, and support programs and initiatives as requested.
