Role Description
Adler Display is seeking a highly organized and proactive
Executive Account Assistant
to support our Account Executive and project teams in the signage, display, and branded environments industry.
This role is central to our client experience and project execution—combining
account support, marketing coordination, and light project management . The ideal candidate is detail-oriented, client-focused, and thrives in a fast-paced, design-driven environment.
This is an urgent hire
with the opportunity to train directly with a senior team member prior to their retirement, ensuring a smooth transition into this key role.
Key Responsibilities
Provide high-level support to the Account Executive, managing correspondence, tracking opportunities, and assisting with client communications
Maintain CRM and internal systems, including customer records, project tracking, photo archives, inventory/exhibit tracking, and
lead source tracking
Process orders, issue order confirmations and deposit invoices, and monitor project status from kickoff through completion
Serve as a key point of contact for clients—answering questions, providing product information, and ensuring a high level of service
Develop quotes for standard signage and display products and coordinate with Project Managers on custom and complex project proposals
Support marketing and business development efforts, including lead research, proposal follow-up, and referral development
Assist with the creation of client presentations and proposals (PowerPoint, Canva, PDF formats)
Coordinate scheduling for meetings, site visits, and internal project discussions
Participate in biweekly marketing meetings and assist with social media content and campaign coordination
Collaborate with Project Managers, designers, and production teams to support project execution and deadlines
Greet and assist incoming clients and calls in a professional and welcoming manner
Qualifications
Required
2+ years of experience in an administrative, account support, or client services role
Strong organizational skills with the ability to manage multiple priorities simultaneously
Excellent written and verbal communication skills
High attention to detail and follow-through
Proficiency in Microsoft Office (Excel, Word, Outlook)
Ability to quickly learn new systems and workflows
Preferred
Experience in the
signage, display, exhibits, environmental graphics, or design/build industry
Familiarity with project coordination or working with production teams
Experience with CRM systems
Basic knowledge of marketing tools such as Canva or PowerPoint
