We are looking for a highly motivated self‑starter to serve as Media Admin in our New Media department, supporting post‑production project management for music festival video, animation, and audio marketing materials. This office‑centric role is based in Calabasas, CA and is not remote.

Responsibilities

Arrange media production related meetings, ensuring the appropriate parties are present and that agendas are set.

Track tasks and due dates in Asana, communicating progress as needed.

Handle all travel advancement.

Maintain purchase logs for company card purchases and reconcile online expenses.

Create and submit expense reports for the Senior Director of Media, Director of Media, and Director of Post.

Maintain internal reporting documents such as crew logs and task completions.

Work with Design and Video teams to onboard outside vendors, create purchase orders, and intake invoices.

Assist on special projects as needed.

Qualifications

Bachelor’s degree in a relevant field or equivalent experience (preferred).

3–5 years of media production experience (preferred but not required).

Ability to evaluate project briefs creatively and financially and communicate those evaluations effectively.

Familiarity with project‑management tools such as Asana (preferred).

Basic knowledge of creative processes and exposure to creative workflows.

Understanding of digital content formats, assets, and the roles of video editors, sound designers, and motion‑graphic artists.

Experience in quality‑control, proofreading, editing, and reviewing deliverables for accuracy and adherence to specifications.

Excellent time‑management and multitasking skills in a fast‑paced environment.

Attention to detail and a commitment to high‑quality standards before release.

Strong verbal and written communication skills with teams, stakeholders, and external partners.

Ability to clearly convey project requirements, timelines, and expectations.

Capacity to address minor project issues (e.g., scheduling or resource gaps) and keep projects on track.

Team‑orientated mindset and support for colleagues’ goals.

Flexible and adaptable to different team dynamics and tasks.

Discretion with sensitive internal information.

Ability to work independently and collaboratively in a deadline‑driven environment.

Proactive and solution‑oriented mindset.

Ability to resolve issues efficiently.

Passion for electronic dance music (highly preferred).

Work Environment

Ability to tolerate loud noise levels and busy environments.

Comfortable working in varying temperature climates.

Willingness to work evenings, weekends, and travel to events as required.

Use of a personal vehicle for business travel when needed.

Attendance at company events, including domestic and international travel, as needed.
