THE POSITION
The Sr. Manager / Director, Finance & Accounting is a critical operating leader within VideoLabs’ Finance & Administration (F&A) function. Reporting to the VP, Finance & Administration, this individual partners closely with senior leadership to ensure our financial foundation isaccurate,timely, well-controlled, and scalable. The role exists to strengthen our core financial processes, provide resiliency for the function (eliminatingsingle points of failure), and deliver the analytics, controls, and insights that enable disciplined decision-making and cash stewardship.
This is a hands-on role: you will lead the monthly close, elevate internal controls, drive forecasting discipline, own day-to-day AP/AR and vendor/DPO management, enhance cash and cost tracking (including revenue share and litigation-related spend), and implement pragmatic tools and process improvements. You will also contribute to Board and executive reporting, help operationalize the Approval Authority Matrix.
KEY RESPONSIBILITIES
Accounting Operations & Close Leadership:handlethe monthly, quarterly, and annual close process end-to-end, including journal entries, reconciliations, accruals, amortization schedules, and classifications. Maintain an organized close calendar and ensure books are audit-ready,accurate, and delivered on schedule in QuickBooks Online and supporting workpapers.
Internal Controls & Compliance: Strengthen and document an effective control environment aligned with GAAP and company policy. Implement andmaintainapproval workflows, segregation of duties, and evidence trails; support tax compliance and external CPA coordination. Operationalize the company’s Approval Authority Matrix within daily processes.
FP&A: Budgeting, Forecasting & Management Reporting: Support and improve the annual budget, quarterly forecasts, and rolling cash outlooks. Build concise management reporting and variance analysis that inform decisions by theVP, F&A,COO, CEO,SLT, and Board; drive scenario planning toanticipaterisk and opportunities.
AP/AR, Vendor & DPO Management: Administer AP/AR workflows end-to-end: vendor onboarding, PO/contract-to-invoice matching, coding, and payment schedules. Ensureaccurate,timelyinvoicing and collections.OptimizeDays Payable Outstanding while balancing vendor relationships and cashobjectives.
Cost Tracking & Revenue Share Accountability:Maintaingranular cost tracking forpatent acquisitions, ILCs,legal and litigation expenses, vendor costs, and contractual revenue shares. Supportdealwaterfall tracking and ensure obligations aretimely,accurate, and well-documented.
Cash, Banking & Controls: Coordinate with banking partners to execute payments under dual-control standards and policy. Monitor cash positions,implement DPO approach and reporting,support cash forecasting, and ensure treasury activities adhere to internal controls and authorization limits.
Tools, Systems & Process Improvement: Implement oroptimizepragmatic tools (e.g., QuickBooks Online, Concur/expense management, dashboards/trackers) to improve accuracy, cycle time, and transparency. Create andmaintainSOPs and training materials to institutionalize best practices.
Cross-Functional Partnership: Collaborate withbusiness development, IP engine,licensing, legal,and operations to align financial processes with business needs (e.g., post-deal billing, membership/settlement invoicing, and data-room support). Providefinanceinputs for strategic initiatives and special projects.
Quality, Documentation & Continuous Improvement: Champion high-quality documentation, consistent file structures, and repeatable processes.Identifyroot causes of errors or delays and implement corrective actions to drive continuous improvement across F&A.
BACKGROUND AND EXPERIENCE FOR THE SUCCESSFUL CANDIDATE
4–7 years of progressive experience across corporate accounting, financial operations, and/or FP&A; priordeep experience withmonth-end close and internal controls in a lean or growth environment strongly preferred.
Demonstrated mastery of accounting fundamentals (GAAP), reconciliations, accruals, revenue recognition basics, and documentation standards; experience preparing audit-ready workpapers.
Proficiencywith QuickBooks Online and advanced Excel/Sheets; experience with expense management (e.g., Concur) and automation/dashboards is a plus.
Practical experience running AP/AR lifecycles, vendor onboarding, and DPO optimization; strong attention to coding, timing, and contractual details.
Hands-on FP&A support: budgeting, forecasting, cash outlooks, and decision-oriented reporting for senior audiences.
Operational rigor with a builder’s mindset:designsprocesses, writes SOPs, and improves controls and cycle time.
Clear, concise communicator who presents financial information effectively to cross-functional peers and executives.
