We help brands and agencies bring campaigns to life through high-impact mobile experiences, custom activations, and immersive brand events.
We are looking for an organized, proactive, and resourceful Experiential Producer to assist with permitting, logistics, event coordination, and onsite execution for upcoming activations and tours.
This role will begin as freelance/contract with the opportunity to transition into a full-time position for the right candidate.
Position Overview
The Experiential Producer will support the planning and execution of experiential marketing activations from pre-production through onsite execution.
This role is ideal for someone who thrives in fast-paced environments, enjoys problem solving, communicates professionally, and can help ensure activations run smoothly and efficiently.
You will work closely with ownership, clients, venues, city departments, vendors, and staffing teams to coordinate operational aspects of events and mobile tours.
Responsibilities
Assist with securing permits and event approvals
Coordinate with municipalities, venues, malls, and property managers
Manage insurance certificates and vendor requirements
Coordinate staffing, rentals, and production vendors
Build and maintain production schedules and timelines
Create run-of-show documents and activation logistics plans
Coordinate transportation and routing for mobile tours
Help ensure all event details are organized prior to launch
Event & Tour Execution
Assist with onsite setup and breakdown
Coordinate vendors, staff, and production teams onsite
Help keep activations on schedule
Troubleshoot issues in real-time
Support client needs onsite professionally and efficiently
Ensure activations are executed smoothly and at a high standard
Track expenses and receipts
Coordinate inventory returns and asset organization
Assist with recap reporting and event follow-up
Help improve internal systems and production workflows
Qualifications
Preferred Experience
Experience in experiential marketing, event production, brand activations, pop-ups, or live events
Strong organizational and communication skills
Ability to multitask and problem solve under pressure
Experience coordinating vendors, staffing, logistics, or event operations
Comfortable managing multiple projects simultaneously
Ability to work flexible hours, including nights and weekends when required
Proficient with Google Workspace, Excel, and project management tools
Bonus Qualifications
Experience securing permits for events or activations
Familiarity with mobile tours, food trucks, or experiential logistics
Experience with retail or mall activations
Existing vendor or permit relationships
Experience building run-of-show documents and production schedules
