As a Publicity and Event Coordinator in the Departments of Statistics and Astronomy, your role is central to advancing the department's outreach and educational mission. You will create and maintain a vibrant digital media presence and engage diverse audiences. You will collaborate closely with key department personnel to ensure the consistent delivery of high-quality branding materials across multiple media channels while also managing publicity and event budgets for optimal efficiency and effectiveness. You will plan and support a dynamic calendar of academic events, such as seminars and lectures, along with general oversight of student staff to support a dynamic, scholarly environment. You will report to the Chief Administrators of Statistics and Astronomy.
Publicity (40%):
Develop, create, and maintain a robust print and digital media presence aimed at engaging students, faculty, alumni, and the broader community. Work closely with faculty and staff to design and disseminate high-quality branding materials for multiple media channels. Create and oversee marketing and event budgets with a view to cost-efficiency and high impact. Produce and circulate newsletters, donor reports, and other outreach materials, ensuring timely and informative updates.
Events (30%):
Schedule, plan and execute events for the departments which may include; weekly seminars, award receptions, distinguished lectures, seasonal events, recruiting events, orientation activities, graduation receptions, and special events. Provide comprehensive event coordination, including travel arrangements, venue booking, catering services, and technological requirements. Serve as the "super-user" for departmental space reservations.
Project and Administrative Support (25%):
Provide ad hoc support for departmental centers (e.g., CHPS) and special initiatives including project planning and implementation support, partnering with departmental leadership and faculty/staff leads to define scope, milestones, timelines, and resource needs (personnel, funds, space).
Professional Development (5%):
Service on departmental, college or university committees. Operational process and procedure development. Continuous improvement and teamwork.
A minimum of three years of experience in administrative roles demonstrating increasing levels of responsibility. Proficiency with a broad range of digital media platforms and web editing software. Proven graphic design abilities and expert-level skills with Adobe Creative Suite software. Excellent organizational skills with the capacity to execute project work as well as engage effectively within a team environment, fostering a culture based on respect and collaboration. Availability for a flexible schedule to accommodate the occasional need for evening and weekend events. A demonstrated commitment to respectful communication within professional settings. The ability to maneuver materials up to 25 pounds, including moving to heights of 3-4 feet and placing them on various surfaces such as tables and carts.
Bachelor's degree in marketing, communication, public relations or equivalent combination of education and experience. Demonstrated experience planning events including budget oversight and publicity. Outstanding writing and speaking abilities are suited to engage with scholarly research discourse. Competence in assessing operational success and executing strategic modifications to enhance efficiency and effectiveness.
