Executive Assistant – Marketing
Capital City Bank seeks an Executive Assistant to support the Chief Brand Officer and the broader marketing team, ensuring operational excellence, and driving execution across campaigns and initiatives.

Role Overview
This role serves as a direct extension of the Chief Brand Officer, centralizing project coordination, prioritization, and follow‑through to accelerate speed to market and reduce execution risk. The Assistant acts as a coordinator, communicator, and problem‑solver, anticipating needs and enabling the marketing team to focus on strategic work.

Key responsibilities include managing calendars, coordinating projects, overseeing administrative operations, supporting marketing and campaigns, and assisting with event logistics.

Principal Duties & Responsibilities
Executive & Team Support

Manage calendar, meetings, and priorities for marketing leadership – ensuring time is aligned with strategic objectives

Prepare meeting agendas, capture notes, and track follow‑ups to ensure accountability

Act as a gate‑keeper and facilitator – prioritizing requests and ensuring timely responses

Coordinate internal communication across teams including Marketing, Digital Channels and Retail Products

Project Coordination

Track marketing projects, timelines, and deliverables across campaigns, initiatives, and departments

Ensure deadlines are met by proactively following up with team members and partners

Maintain project management systems (e.g., Asana, Kadence)

Help streamline workflows and identify inefficiencies

Administrative Operations

Manage invoices, budgets, credit cards, and vendor coordination

Oversee ordering, shipping, and distribution of marketing materials to offices

Maintain organized digital file systems (SharePoint)

Marketing & Campaign Support

Coordinate logistics for campaigns, events, and promotions

Proofread materials for accuracy and consistency

Support content scheduling and asset management

Ensure brand standards and compliance requirements are followed

Event & Logistics Support

Assist with planning and execution of internal events, including meetings, community events, and sponsorships

Coordinate vendors and on‑site logistics

Knowledge, Skills, and Abilities (KSAs)

Ability to analyze situations to determine solutions or resolve problems

Apply general accounting knowledge (debits, credits, balancing) to processes

Apply knowledge and sound judgment in decision‑making and understand consequences of decisions

Work in fast‑paced team environment, handle multiple tasks and prioritize work

Effective written and verbal communication skills

Excellent client service skills

Detail oriented

Excellent time management and organizational skills

Knowledge of general office procedures (e.g., filing, correspondence, scheduling)

Strong PC skills (proficient knowledge of MS Word, Outlook and Excel)

Education
Minimum high school diploma or equivalent required. Bachelor’s Degree in Finance, Business, Accounting, or related field, from an accredited college preferred. Experience in banking a plus, along with 3 or more years’ experience in an administrative professional role. Relevant experience may substitute for the education requirement.
