Program Coordinator (Multiple Positions)
Program Coordinator position plays a vital role in the day-to-day operational management and administration of the Osher Lifelong Learning Institute at the University of Arizona (OLLI-UA). OLLI-UA is a 501(c)(3) affiliate partner of the university that provides a unique lifelong learning environment for adults 50+ and serves 1,000+ members with in‑person and online classes. The program is volunteer‑driven with four paid staff members and is part of the Office of Continuing and Professional Education at UA.
Visa sponsorship is not available for this position.
This position permits flexible and hybrid work arrangements. Some duties can be performed remotely, but others require an in‑person presence on the Tucson campus.
Position Highlights
The OLLI-UA Program Coordinator collaborates with program leadership to plan, implement, and monitor programming, ensuring timely rollout of activities and maintaining high standards of service for members, volunteers, and the broader university community.
Duties & Responsibilities
Program Coordination (Online and In‑Person Support)
Assist in providing outstanding service and support to all current and prospective members, as well as community members and university faculty and staff.
Assist in program planning, implementation, and monitoring, working closely with the OLLI‑UA Program Manager, Program Coordinators, Office Specialist, and nonprofit partner leadership.
Assist in coordinating OLLI‑UA program activities, including semester rollout, ensuring objectives and timelines are met.
Related activities include:
Coordinating scheduling of key semester dates for each campus.
Coordinating a database‑driven curriculum proposal submission and review process.
Developing master class schedules for each term.
Overseeing class registration setup and administration.
Generating marketing communications and materials for campus use, including bulk Mailchimp emails, class catalogs, registration forms, member nametags, evaluation reports, and membership directories.
Providing on‑site membership purchase and class registration support for new and returning members at Discover OLLI‑UA and Help Desk events.
Serving as an ex‑officio member on assigned OLLI‑UA committees, including Membership & Outreach, Curriculum Committees, and Campus Councils.
Ensuring streamlined operational practices, facilitating the sharing of best practices across OLLI programs.
Training volunteer leaders in technologies such as Google Drive, MailChimp, Zoom, and the registration system.
Membership and Outreach
Work with leadership to develop and promote volunteer activities and expand learning opportunities.
Help develop volunteer recruitment, tracking, and recognition programs.
Assist in recruiting new members, volunteers, class leaders, and partners through outreach initiatives and promotional events.
Develop and maintain reports to track and measure impact and success.
Administrative
Assist in phone and email support for members, including membership purchases, class registration, CatCard/DCC requests, and login assistance.
Update the OLLI‑UA CMS website and registration system.
Draft, compile, analyze, and submit reports to leadership and university administration.
Process payments using credit card terminals and handle cash/check receipts, submitting deposits to the university bursar’s office.
Act as backup for financial reporting, invoice processing, and reimbursements through UAccess Financials.
Maintain accurate member and registration databases.
Assist in donor database maintenance, tracking gifts in Raiser’s Edge/Lynx for annual giving campaigns.
Assist with CatCard/DCC year‑end rollover and ensure timely activation within the fiscal year.
Create and maintain university‑branded e‑newsletter distribution lists and templates using Mailchimp.
Serve as a vital backup when other staff are absent.
Perform other duties as assigned and relevant to this position.

Minimum Qualifications
Bachelor’s degree or equivalent through professional experience.
Minimum of 3 years of relevant work experience, or equivalent combination of education and experience.
Preferred Qualifications
Experience in business analysis, training, and project management.
Experience with data analytics tools and processes.
Experience working with adult learners.
Experience in marketing, graphic design, or social media.
Prior University of Arizona work experience.
