The Group Programming Coordinator / Administrator plays an integral role in curating and supporting exceptional, purpose-driven group experiences. Working closely under the guidance of the VIP Group Programming Specialist, the key liaison between Sales and Programming, this position helps bring each corporate/social group retreat to life through thoughtful support of coordination, precise execution, and seamless communication.

ESSENTIAL FUNCTIONS:

Support the VIP Group Programming Specialist in the coordination/logistical planning of customized corporate/social group itineraries

Execute directives with a high level of precision, ensuring all details align with the intended group experience

Assist in building thoughtfully curated itineraries that reflect a balanced integration of Miraval’s core disciplines, including fitness, yoga, meditation, outdoor adventure, equine, farm, specialist, and creative expression

Coordinate closely with internal teams to confirm availability, manage scheduling, and ensure seamless logistical execution

Attend remote calls with group leaders to help plan/coordinate group retreats

Maintain accurate and organized records across scheduling systems and internal platforms

Facilitate clear and timely communication between Sales, Programming, and operational teams

Support pre-arrival preparation to ensure each group experience is delivered with intention and excellence

Support in guiding site tours for upcoming groups

Provide logistical support to group leaders once group is on property

Provide administrative and operational support to Integrative Wellness and Programming leadership during non-peak group period

Qualifications

2+ years of experience in hospitality, event coordination, administrative support, or a related field

Experience supporting group programs, retreats, or complex scheduling environments strongly preferred

Demonstrated ability to manage multiple projects while maintaining exceptional attention to detail

Strong technical proficiency and comfort working within multiple systems simultaneously

Excellent written and verbal communication skills

Self-motivated, highly organized, and comfortable working both independently and under direction
