The Personal Assistant to the Founder & Creative Director serves as a critical operational partner at the heart of a fast-moving fashion brand. This role is responsible for enabling the Founder to focus on creative and strategic priorities by managing the full scope of her day-to-day, from calendar and communications to travel, finance administration, and cross-functional coordination. The ideal candidate is highly organized, discreet, proactive, and comfortable navigating both the fast pace of a creative environment and the precision required of executive-level support.
Description
Co-manage the Founder's Google Calendar, maintaining visibility and alignment across all personal and professional commitments
Schedule and send invites for internal team meetings, external calls with press, vendors, and partners, personal appointments, and hiring-related interviews
Confirm and reschedule meetings on the Founder's behalf, serving as the primary point of contact for calendar coordination
Follow up after meetings as needed to ensure next steps and commitments are tracked
Regularly coordinate scheduling across multiple time zones with domestic and international contacts
Proactively identify and resolve calendar conflicts, protecting the Founder's time and focus
Email & Communications
Maintain full access to and day-to-day management of the Founder's Gmail inbox
Triage incoming email, flagging urgent or high-priority items for the Founder's attention and handling or delegating the rest
Draft and send correspondence on the Founder's behalf across a range of contexts — press and PR inquiries, vendor and partner outreach, internal team communications, and personal correspondence
Follow up on outstanding threads to ensure nothing falls through the cracks
Archive and organize processed emails to maintain a functional, clutter-free inbox
Manage inbox noise, including unsubscribing from irrelevant lists and reducing low-value volume
Maintain a running log of open and pending email threads requiring action or response
Travel and Logistics
Own end-to-end travel planning for the Founder, including research and booking of flights, hotels, car rentals, and car service or rideshare coordination
Book and coordinate travel for the Founder's family members and team members as needed
Plan both domestic and international trips spanning work travel (factory and maker visits, trade shows, brand activations) and personal travel including family trips
Manage all visa applications and travel documentation for international travel
Build comprehensive, consolidated travel itineraries with all logistics, confirmations, and need-to-know details in one place
Prepare packing lists and handle pre-trip logistics to ensure the Founder is fully set before departure
Provide active support during travel — tracking flights for delays, remaining on-call for issues, and handling rebooking or cancellations as they arise
Finance & Administrative Support
Receive, log, and code incoming invoices to the appropriate budget category using Google Sheets
Process vendor and supplier payments directly via credit card
Collect and organize the Founder's receipts for expense tracking and reporting
Serve as a regular liaison with the company's accountant or bookkeeper, providing documentation and supporting ongoing financial record-keeping
Social Media Support
Assist in the day-to-day management of the Founder's social media presence across platforms including Instagram and LinkedIn
Shoot casual, iPhone-based content in the moment — capturing outfits, everyday moments, travel, and brand activity as they happen
Source or suggest content ideas that align with the Founder's aesthetic and personal brand
Write captions and copy that reflect the Founder's voice and engage her audience
Handle posting and scheduling across platforms to maintain a consistent presence
Monitor and engage with followers through comments and DMs
Prior social media experience preferred; a genuine interest in fashion, lifestyle content, and social media culture is essential
Personal Assistance
Manage personal appointments for the Founder, including scheduling medical, salon, and other personal commitments
Manage the Founder's children's schedules and events, including coordinating logistics and fielding related emails
Source gifts and handle personal shopping as needed
Plan and book personal and family travel, including full itinerary coordination
Assist with home and vehicle-related tasks and logistics
Run errands and handle pickups on the Founder's behalf
Maintain the highest level of discretion and confidentiality across all personal matters
Skills & Qualifications
Proven experience as a Personal Assistant, ideally supporting a founder, creative director, or senior executive in a fast-paced environment
Familiarity with the fashion or creative industry strongly preferred
Proficiency in Google Workspace, including Gmail, Google Calendar, Drive, and Sheets
Experience with project management tools such as Asana, Notion, or Monday.com
Familiarity with AI tools and a curiosity for how they can improve productivity and workflows preferred
Exceptional organizational skills and meticulous attention to detail
Strong written communication skills with the ability to write confidently in another person's voice
Comfortable managing multiple competing priorities with a high degree of autonomy
Event planning experience a plus, but not required
Social media experience preferred, particularly across Instagram and LinkedIn
High degree of professionalism, discretion, and trustworthiness
Flexible and adaptable — comfortable with a hybrid schedule and willing to lean in when the role demands it
