Job Summary
Provides management for an education, research & operations program/project, recommending goals, assessing feasibility and ongoing performance & providing day-to-day oversight of administrative & operational functions.
Specific Responsibilities
Administration
Manages day‑to‑day operations.
Ensures that program/project mission, values, guidelines, policies & procedures are implemented & maintained.
Manages design and development of program databases; compiles & analyzes data; prepares reports.
Reviews processes and recommends changes to incorporate state‑of‑the‑art technology as appropriate into administrative, recruitment, marketing, and educational components.
Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.
Acts as liaison to IT to ensure technology systems are properly installed & maintained.
Budgets & Financial
Participates in budget preparation.
Maintains budget & associated analysis & reports.
Enter key financial data into the institution’s enterprise system.
Review and apply policy and practice to transaction processing, account classification, creation of new accounts, and reconciliation.
Process transfer and appropriation charges, and balance or close accounts.
Troubleshoot and provide vendor/account research as needed.
Communication, Outreach & Recruitment
Develops coordinated, consistent marketing and brand messages.
Creates state‑of‑the‑art website and incorporates social media and networking.
Builds and nurtures relationships with external organizations to increase participation, engagement, and revenue.
Evaluation
Observes program sessions and interacts with participants for consumer insight and program improvement.
Coordinates collection, analysis & reporting of required evaluation data.
Analyzes evaluation data to assist in program development and updates.
Implements corrective actions as needed.
Events
Coordinates programming, educational, student, alumni events, workshops, meetings, etc.
Plans and arranges meetings, workshops, events, including communication, venues, presenters, travel, materials, refreshments, and technology.
Faculty Support
Coordinates faculty recruitment, appointment & credentialing processes.
Provides support for promotion & tenure case preparation, FASIS appointment paperwork, colloquium & seminar coordination, and faculty travel planning.
Supports faculty in course development, classroom coordination, evaluations, and grading.
Grants & Contracts
Partners with the development office and grant manager to identify and secure program funding.
Assists faculty & students in grant proposals and provides administrative guidance for budgets.
Identifies grant funding opportunities.
Human Resources
Ensures implementation and consistent application of HR programs, policies & procedures.
Coordinates talent management lifecycle activities with HR.
Administers HR solutions in collaboration with central HR.
Program Development
Manages curriculum, seminars, presentations, workshops, learning experiences, and online resources.
Ensures academic quality and expansion of program offerings.
Works with external subject matter experts.
Reviews and improves programs for efficiency.
Selects speakers and oversees topic development.
Leads program updates and improvements.
Regulatory Compliance
Ensures compliance with required organizations and accrediting bodies.
Prepares documentation and acts as compliance officer.
Strategic Planning
Administers existing strategic plans.
Participates in development and presentation of materials for functional operations.
Student Support
Manages program scheduling, curriculum, facilities, technology, registration, and audits.
Advises students on admissions, academics, careers, and development.
Selects and reviews admissions files, interviews, and screens applicants.
Implement policy on student support compliance.
Resolve administrative issues such as stipends, fellowships, and monitors.
Organizes new student activities and tracks grade entries.
Supervision
Supervises 1–2 staff and provides work direction.
Miscellaneous
Performs other duties as assigned.
Minimum Qualifications
Successful completion of a full 4‑year accredited bachelor's or higher degree; OR appropriate combination of education and experience.
1 year program/project administration or related experience.
Target Hiring Range
Target hiring range for this position will be between $52,000–$65,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills, and abilities, as well as internal equity and market data.
