Summary
The Overnight Assistant Program Manager is responsible for direct oversight of the residential program assigned as primary work site, and any other residential program for unspecified periods. Responsibilities include maintaining a full program census, delivering restorative services per resident service plans, maintaining health and safety standards for office and program spaces, supervising staff performance, and facilitating program improvement. The manager also oversees program activities such as skills groups, recreation, and socialization events, along with other interventions.
Essential Duties and Responsibilities
Oversee all program operations.
Directly supervise program staff, conduct individual supervisory meetings, and provide in‑service training to ensure staff are properly trained.
Monitor compliance with all applicable safety and health code requirements and take immediate action to address high‑risk situations.
Work with residents to help them follow psychiatric and medical plans, approve individual service plans, integrate multidisciplinary services onsite, and facilitate or participate in case conferences.
Maintain case records per regulatory requirements, review records, sign off on documentation, and ensure timely completion of paperwork.
Monitor submission of progress notes daily, review quality of documentation, and ensure compliance with regulatory and billing standards; submit all internal reports on progress notes and billing.
Conduct internal audits of clinical case records, financial records, and all other program documentation to ensure compliance with city, state, and federal regulations.
Maintain all program licenses, accreditations, and certifications.
Monitor compliance with the site’s quality assurance plan and report on the status of compliance efforts.
Investigate and address resident complaints and grievances.
Review incident reports and direct follow‑up.
Assist with writing staff memos and disciplinary action to promote a culture of accountability.
Prepare written correspondence and notifications on resident‑related issues.
Keep administrators and managers aware of significant events and issues within the program.
Maintain productive working relationships with provider groups and referral sources.
Collect, prepare, check, and submit all payroll materials within designated time frames.
Adhere to, and facilitate adherence of all staff to, CCCS and Department policies and procedures.
Enforce terms and conditions outlined in client agreements, leases, and lease riders.
Facilitate replenishment of program supplies and maintain inventory as needed.
Assist with maintenance related issues, including repairs, preventative maintenance, and work by outside vendors in the program office and where applicable, apartments.
Perform other duties consistent with the goals and objectives of the program as assigned by Administration.
Position Type and Expected Hours of Work
This is a full‑time position. Generally, works Tuesday through Saturday, 12:00 AM – 8:00 AM. Days, hours and work site may vary depending on program needs.
Salary
$67,000 – $70,000 annually

Qualifications
Education and/or experience required:
Bachelor’s Degree in a mental health discipline preferred.
Computer literate with basic knowledge of Microsoft Office and Excel spreadsheets.
Four years of experience working with the mental health and/or substance use population required.
