Responsibilities
Performs advanced consultative and technical work under the direction of the Chief Medical Officer to locate and promote continuing education opportunities for state hospital staff, maintain a database of ongoing learning opportunities, and secure contracts for staff learning tools and resources. Acts as the subject‑matter expert for these contracts and collaborates with the Patient Safety and Research Coordinator on educational initiatives and IRB activities. Communicates with community relations staff to track and report quarterly numbers of clinical trainees and interns. Provides customer service and invoicing support for PRSP contractors and facilitates PRSP program planning, funding requests, negotiations, and deliverables tracking.
Essential Job Functions (EJFs)
Facilitate continuing education (CME/CE) opportunities and clinical training for state hospital staff by securing contracts for educational software and serving as SME for those contracts (15%).
Oversee quarterly data collection of clinical trainee rosters and compile annual report for leadership (10%).
Serve as SME and coordinator for the Psychiatric Residency Stipend Program (PRSP); monitor all aspects of PRSP contracts, including renewals, funding requests, negotiations, and deliverables (40%).
Provide daily customer assistance and annual compliance training to PRSP contractors; track monthly invoices with procurement and accounting teams (15%).
Assist Patient Safety and Research Coordinator with educational activities and IRB administration; participate in departmental projects (15%).
Perform other duties as assigned, including disaster response and COOP activation (5%).
Knowledge, Skills and Abilities (KSAs)
Knowledge of continuing education for medical professionals and clinical training opportunities.
Knowledge of clinical research and institutional review board systems preferred.
Skill in preparing summary reports using computers, spreadsheets, and presentation software.
Skill in communicating, coordinating, and collaborating across diverse institutions and professions.
Ability to create statements of work and monitor contract deliverables.
Ability to think strategically to accomplish goals.
Flexibility to work on special projects as needed.
Ability to work with internal and external stakeholders.
Licensure and Certifications
Certified IRB Professional (CIP) preferred; successful applicant will be expected to obtain CIP within 12 months if not currently certified.
Screening Criteria
• Minimum two (2) years’ experience in continuing education for medical professionals and clinical training for interns, residents, or other health‑care trainees.
• Minimum two (2) years’ experience with Texas state contracting processes preferred.
Additional Information
Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks (CANRS, Nurse Aid, Medication Aide, Employee Misconduct, LEIE). Males 18‑25 must be registered with Selective Service. Minimum age 18; Waco and Terrell Center for Youth applicants 21. Flexibility in hours may be required.
