GENERAL DESCRIPTION
Supports coordination and execution of departmental operational activities, including promotional material distribution, inventory management, expense tracking, invoice processing, vendor coordination, budget reconciliation support, and ensuring the integrity of reporting and inventory systems. Supports the unit’s day-to-day operational and financial processes to ensure efficiency, organization, compliance with established procedures, and alignment with organizational and budgetary objectives.

ESSENTIAL FUNCTIONS

Responsible for monitoring and controlling promotional materials and branded inventory, ensuring accurate tracking, optimal utilization, and timely replenishment to support company initiatives effectively.

Supports inventory administration of the Company’s warehouses located in Carolina using the inventory system.

Coordinate the full procure‑to‑pay cycle, including purchase order requests, vendor coordination, and invoice processing, ensuring accuracy, timely payment execution, and adherence to contractual and internal requirements.

Support budget tracking, expense reconciliation, and financial monitoring for marketing and communications initiatives.

Prepare operational, financial, and performance reports, including dashboards and key performance indicators (KPIs).

Maintain databases, spreadsheets, records, and documentation related to marketing campaigns, communications projects, vendor agreements, and operational processes.

Monitor timelines and follow up with vendors and internal departments to ensure deliverables are completed within established deadlines.

Collaborate with cross‑functional teams to support operational processes and administrative tasks.

Prepare presentations, product catalogs, summaries, and recommendations for leadership and departmental meetings.

Support audits, compliance reviews, and documentation requests related to operational processes within the unit.

May carry out other duties and responsibilities as assigned, according to the requirements of education and experience contained in this document.

MINIMUM QUALIFICATIONS

Education and Experience: Bachelor’s degree in Business Administration, Finance, or a related field required. At least one (1) year of experience in marketing operations support, initiative coordination, vendor management, or related operational functions.

Certifications / Licenses: N/A.

Languages: Spanish – Advanced (comprehensive, writing and verbal); English – Intermediate (comprehensive, writing and verbal).

Basic to intermediate knowledge of Excel is preferred.
