Document Specialist I – Processing
Ensures the efficient processing, organization, and management of cases within Holman’s Licensing and Compliance systems. This position involves scanning, uploading, and managing cases, as well as performing outreach to clients. The individual will also be responsible for tracking responses, updating case statuses, and handling registration and plate distribution.

Responsibilities

Intakes, catalogues, and scans Licensing documents, and uploads the scans to client Licensing cases

Maps inbound Licensing documents to corresponding client cases

Engages with clients regarding Licensing documents

Outbounds physical Licensing documents to clients

Assists and supports team members (e.g., Document Specialist I – Storage) depending on capacity and development goals

Monitors and updates case progress

Creates and manages Ghost Cases

Handles client outreach and communication

Manages outbound registration and plate distribution

Provides administrative support

Performs all other duties and special projects as assigned

Qualifications

High School Diploma or equivalent required; a degree in Business Administration or relevant field preferred. Additional education, certifications, or experience are a plus.

Strong problem‑solving skills and the ability to handle multiple tasks simultaneously

Previous experience in case management, administrative support, or customer service is a plus.

Proficient in various desktop tools including MS Office Programs (Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint, etc.)

Ability to work independently and as part of a team

Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.

2–4 years’ experience in case management, administrative support, or customer service related fields

Proficiency in a technical or functional area; knowledge of work processes and tools generally limited to own area of responsibility or department

Understanding of accounting principles and bookkeeping software may be required

Experience reviewing and improving processes, methods, and tools to increase efficiency, accuracy, and security

We offer competitive wages that are commensurate with job‑related skills, experience, relevant education or training, and geographic location, starting in the range of $24.65 - $35.13 USD per hour.
