This position works closely with the Program Manager and project partners to plan, promote, implement, assess, document, report on current grant projects as well as new programming as grant allocations allow.
The Resilience Institute promotes and provides Mind-Body Skills training to the local community, including pre K-12 students and their families, ACM employees and students, and other local partners. ACM is a service provider under the Garrett County and Allegany County Community Supports Partnership, expanding access to behavioral health and related services and supports to students and their families.
1. Program Coordination & Operations
Coordinate scheduling, staffing, and logistics for training, events, and program activities. Some examples include: in‑school and after‑school programs, professional development trainings, etc.
Plan and promote community forums and program services.
Schedule services to minimize duplication of student participation.
Conduct site visits prior to Tier 2 services to ensure compliance with grant requirements.
Provide logistical support, including preparing and transporting materials to program sites.
Apply creative and collaborative problem‑solving to daily operations.
2. Participant & Facilitator Management
Recruit facilitators and participants in collaboration with schools or partnering organizations.
Ensure facilitators meet all requirements (clearances, supplies, documentation, assessments).
Maintain an up‑to‑date facilitator database.
Coordinate scheduling between facilitators, staff, and program sites.
3. Grant Compliance & Data Management
Ensure compliance with grant requirements related to data collection, retention, and dissemination.
Record and maintain attendance and evaluation data.
Collect pre‑ and post‑assessment data and ensure proper matching for Tier 2 activities.
Safeguard confidentiality and securely maintain participant data.
Submit de‑identified data for analysis and reporting.
Document and report any variances from grant plans or duplication issues.
4. Reporting, Evaluation & Continuous Improvement
Assist in preparing grant progress reports (data collection, narratives, supporting documentation).
Identify risks to project success and develop mitigation strategies with leadership.
Assess processes for efficiency, accuracy, and continuous improvement.
5. Communications, Outreach & Marketing
Develop and distribute program communications, forms, and educational materials.
Coordinate website updates and respond to social media inquiries.
Collaborate with publication services to design promotional materials.
Ensure public‑facing communications meet funder and partner approval requirements.
Deliver presentations as needed.
6. Financial & Resource Coordination
Coordinate procurement of supplies in alignment with funder and partner guidelines.
Research vendors, pricing, and delivery timelines.
Maintain accurate supply inventory.
7. Stakeholder Engagement & Partnerships
Build and maintain relationships with funders, partners, government representatives, and community organizations.
Participate in college, grant, and community meetings.
Engage with the Community Resilience Network and related committees.
Ensure programming is culturally responsive and meets the needs of diverse populations.
8. Customer Service & General Support
Respond to phone, email, and in‑person inquiries with professionalism.
Provide program information and support to stakeholders.
Complete required employee training.
9. Leadership Support & Administrative Backup
Substitute for the Program Manager when needed.
Support leadership in program delivery and decision‑making.
Research funding opportunities and share insights with leadership.
10. Other Duties
Perform additional responsibilities as assigned.
Bachelor’s degree and a minimum of two years of related experience required, including but not limited to education, counseling, clinical social work, behavioral health, or project/grant management. Professional and Advanced Training through The Center for Mind-Body Medicine or willingness to complete this training is required.
Strong written and verbal communication skills, strong interpersonal skills, management skills, and acute attention to detail required. Requires competency in the use of personal computer operating systems, software applications (Word, Access, Excel, Publisher, PowerPoint), and e‑mail/internet communications software. Excellent organizational, management and communication skills.
