About the Job
The Executive Accounts Specialist is an integral member of the FOD Center. As a primary financial contact for the Departments of Family Medicine, Ophthalmology, and Dermatology, this position is responsible for non-sponsored finance management functions focusing on transaction support and approval, reconciliation, budgeting, reporting, and forecasting. The position requires knowledge of accounting principles as well as University policy.

This position is based out of Minneapolis, MN and is eligible for hybrid work from home and/or on campus work dependent upon individual performance and organizational need, though some regular on-site work will be expected. Because the University of Minnesota is a land‑grant institution that serves the state, residing in Minnesota is typically required.

Job Duties
65%: Purchasing Coordinator/Regulatory

Serve as the primary contact for the FOD Center by managing our general finance email inbox; units include Departments of Family Medicine, Ophthalmology, and Dermatology.

Serve as a resource for unit staff and faculty on accounting policies and procedures related to purchasing, contracting, procurement cards, contracts for professional services, travel and expense reimbursements, and vouchers.

Serve in an advisory role for clerical financial staff within the units, providing training as needed.

Provide transactional accounting support to assigned units in coordination with supervisor.

Coordinate with Supervisor regarding potential deficits.

Recommend annual budgets for blanket purchase orders.

Interpret and apply financial policies to support departmental programming.

35% General Finance

Serve as primary billing coordinator for FOD Center.

Enter budget journal entries for FOD Center, prepare, and enter payroll distribution updates and retroactive adjustments.

Prepare payroll documents for HR entry.

Review and verify contact lens invoices in Workday.

Enter distribution updates and retroactive adjustments for payroll.

Monitor available funding within designated nonsponsored funding sources.

Work closely with HR/Payroll staff to ensure payroll expense is accurate and is aligned with Budget Plan.

Assist Finance Manager with ad‑hoc reporting and analyses as needed (may include UM Analytics).

Work within the larger finance team in a back‑up capacity as needed.

Continue professional development through attendance of courses, workshops, seminars, and other meetings.

Required Qualifications

High school diploma/GED and four years of general accounts transaction experience.

Training may be substituted for some of the years of experience.

Strong oral, written, and interpersonal skills, and ability to communicate clearly and effectively with diverse audiences.

Experience in using Microsoft Excel and online reporting tools.

Experience within a financial setting.

Demonstrated ability to collaborate well with people from a variety of backgrounds, communities, and identities.

Excellent organizational skills and ability to prioritize multiple and sometimes competing projects and assignments.

Preferred Qualifications

Motivated self‑starter with strong attention to detail.

Experience with University of Minnesota financial policies and procedures.

Experience with University of Minnesota financial and HR Peoplesoft systems.

Fiscal experience including accounting, budget development and monitoring.

Customer Service experience.

Pay and Benefits
Pay Range: $24.99-$36.34 per hour; most offers will be around the midpoint of this range $28.05-$31.49 per hour, depending on education and experience.
