Beverly Wilshire, a Four Seasons Hotel, is looking for a PR & Marketing Coordinator who shares our passion for excellence and is enthusiastic about creating the ultimate service experience for our guests. We are looking for individuals who possess a high level of professionalism and integrity while maintaining the confidentiality of the office. A solid working knowledge of all MS systems: Word, PowerPoint, Excel, and Publisher is required. Working knowledge of Operais is strongly preferred. Applicants must also have a high attention to detail, the ability to multi‑task in a fast‑paced environment and be a collaborative team player.

This person will be responsible for providing administrative support to the Director of Public Relations, Sales Managers and Director(s) while being familiar with all aspects of the sales process. This position reports to the Director of Public Relations. This is a non‑exempt/hourly position. U.S. work authorization is required for this position.

Responsibilities

Correspond via email and telephone with Travel Advisors and Meeting Planners regarding individual reservations or group requests.

Communicate internally with Reservations Team, Front Office Team, and other departments for guest preferences and stay requests.

Prepare accurate written correspondence including letters, contracts, reports, and e‑mails using MS Word, Golden Sales & Catering, and Outlook.

Maintain Golden Sales & Catering accounts, including traces, creating and updating bookings, and systems maintenance.

Complete all weekly/monthly reports (Forecast, Sales Reports, function room occupancy and availability reports, Accounts lists, etc.) on a timely basis.

Receive and respond to incoming telephone calls in accordance with Four Seasons Standards.

Field incoming inquiries and distribute to proper recipient.

Provide support to the Sales Coordinator and Catering Administrative Assistant as necessary, including contract turnovers, merging contracts, menu printing, and site inspection forms.

Manage projects related to sales initiatives such as holiday gifts, sales blitzes, and hotel partnerships.

Operate a variety of electronic and manual office resources, including laser printers, multifunction copy machines, fax machines, and a bindery machine.

Periodically assist with front‑of‑house operations, including greeting and directing guests.

Assist with resume preparation of confirmed bookings when needed.

Perform other tasks or projects as assigned by hotel management.

Handle incoming requests from clients and hotels, acting as primary client contact when the Sales & Catering team is out of the office.

Preferred Qualifications and Skills

Basic knowledge of hotel operations

Previous hotel experience preferred

Strong communications (telephone and in person)

College education preferred

Fluent and professional communication both written and verbal

Works well under pressure, multitasks, and is a team player

Extreme attention to detail, strong organizational skills, and strategic thinking

Ability to touch type 50+ WPM and comprehensive computer skills
